  • Import users from a spreadsheet

All data can be imported from Excel into HYPERPLANNING: work-studies, porters, calendars, courses, curricula and modules, teacher discharges, definition of families, teachers, companies, students, training courses, links between groups/options, counselors, subjects, personalized subjects, parents, progressions, classes, competence reference frames, groupings, rooms, internships, users, cities.

First step: preparing the spreadsheet for import

  1. If the database already contains users, check the spelling of the first and last names so that HYPERPLANNING does not create duplicates.
  2. The spreadsheet must include one row per data item and one column per type of information (field). An example Excel file is provided with the application in C:\Program Files\Index Education\Hyperplanning 2023\Réseau\Client\Exemples\Fichiers Import\
  3. It is not necessary to have a line of labels, but it can facilitate the matching with the HYPERPLANNING fields during the import.
  4. HYPERPLANNING requires that at least the two fields Surname and Username are filled in.
  5. If there are homonyms, it is necessary to ensure the presence of a field allowing the distinction such as the field E-mail.
    1. To import a field not provided for in HYPERPLANNING, you must provide a column for this type of information in the spreadsheet and respect the syntax <Type of information>Information so that HYPERPLANNING transforms this column to family during the import.

      Second step: Import of users in HYPERPLANNING

      1. In the spreadsheet file, select the data to be imported and press Ctrl + C to copy it.
      2. Go to any of the displays from the tab Schedules.
      3. Press Ctrl + V to paste the data: the import window opens.
      4. At the top, select the type Users as the type of data to import: 
      1. Indicate Tabulation as field separator.
      2. Match each column with a HYPERPLANNING field. To do this, click on the arrow next to the Ignored Field heading and select the field to which the column corresponds from the drop-down menu.
        • If a column should not be imported, leave Field ignored. As long as any required fields are missing, all data will be displayed in red. If some data remains in red at the end of the mapping, it is because it does not match the expected format: hover over it to see why. Most of the time, the data is still imported but modified to be compliant.
        • If you have copied the column headings, tick Do not import the [1] first lines.
        • If a column contains data not provided by HYPERPLANNING, choose Family that allows you to create the unplanned fields.
      1. Click on Import: HYPERPLANNING proposes to switch to Exclusive usage mode (the other users are transferred to Consultation mode during the import and you can choose not to keep the imported data at the end of the process).
      1. HYPERPLANNING displays a report with the number of users imported, created or modified.
      1. Close the window.
      2. HYPERPLANNING proposes to save the import format, the matching of the fields with the columns will be kept for all future user imports.
      3. If you were in Exclusive usage mode, click on the button in the tool bar.
      4. In the pop-up window, choose by saving your modifications.
