Enter an absence or tardiness
Enter an absence
- Go to the display Absences > Entry > Absence and tardiness grid.
- Select the student from the list on the left, then the concerned week on the week slider.
- Select the entry type Absence then a motive from the drop-down menu.
- Click and drag your mouse over the concerned slots: the absence is displayed at the bottom of your screen.
- If the absence has been justified in writing by the guardians, you can settle it administratively; if not, a mailing for a justification request.
Enter a tardiness
- Go to the display Absences > Entry > Absence and tardiness grid.
- Select the student from the list on the left, then the concerned week on the week slider.
- Select the entry type Tardiness then a motive from the drop-down menu.
- Click on the concerned slot: the tardiness is displayed at the bottom of your screen.
- If necessary, double-click in the duration column to adjust the duration of the tardiness.
- If the absence has been justified in writing by the guardians, you can settle it administratively; if not, a mailing for a justification request.

- Go to the display Absences > Entry > Absences foreseen by the guardians.
- Filter the information and period to be displayed.
- The date of the absence, the motive and a written explanation appear in the column Planned absences, as well as the identity of the guardian for the mailing.
- If there is a justification associated with this absence, a green tick appears in the column
: right-click and select Attachment > Consult the attachment.
- If you accept to enter the absence, click on Validate.
- In the pop-up window, leave the box ticked, then click on Yes: absence is automatically shown in the display Absences > Entry > Absence and tardiness grid.

Mailing a justification request for the guardians
Mailing from the absences and tardiness grid
- Go to the display Absences > Entry > Absence and tardiness grid.
- Select the student from the list on the left, the concerned week on the week ruler and the concerned data entry mode. (Absence or Tardiness).
- Double-click in the column Template, then select the document to send.
- Double-click on the envelope, then click on Print.
- A follow-up corresponding to mail is automatically created, and a processing deadline defined by default.
Mailing from the PEC dashboard
- Go to the display Absences > Dashboard > Today's dashboard.
- If necessary, filter the data displayed in the table using the buttons

- Select the absences Not SA (or the tardiness) of the day in multi-selection: they are displayed at the bottom of the screen.
- Select absences from the list, right-click, select Mass mailing > Template then select the document to send.
- Double-click on the button
in the menu bar, at the top left of the screen.
- In the pop-up window, select a type of output, then click on Print (or Generate, Print/E-mail depending on the type of output selected); a follow-up corresponding to this sending is automatically created.
Mailing from the Mass Mailing display
- Go to the display Absences > Mass mail > Mass mailing of absences and tardiness.
- If necessary, filter the data displayed in the table.
- Select a period using the drop-down menu at the top right of the screen.
- Sort the table according to the criterion of your choice by clicking at the top of the corresponding column.
- Select the absences (or tardiness) you want to multi-select, right-click and select Modify > Template.
- Double-click on the button
in the menu bar, at the top left of the screen.
- In the pop-up window, select a type of output, then click on

Administratively settle an absence/tardiness
Consult a justification sent from the Parents Webspace
You can consult the absence/tardiness justifications sent by the guardians in the following displays:
- Absences > Entry > Absence and tardiness grids
- Absences > Entry > Absences foreseen by the guardians
- Absences > Entry > List of absences and tardiness
- Absences > Tableaux de bord > Today's dashboard
- Absences > Mass mail > Mass mailing of absences and tardiness
- Absences > Monitoring > Follow-up of absences and tardiness per student
- Absences > Monitoring > Monitoring of unsettled absences and tardiness
- Absences > Monitoring > Absence or tardiness justified by the parents
To process the justification, select the absence/tardiness, right-click and select the concerned command.

Modify the "justified"/"unjustified" status of an absence or tardiness
An absence (or tardiness) can be "justified" or not by default, depending on the configuration of the associated motive. This status can be modified manually, if required, in all displays that have a column Justified (sometimes abbreviated Just.), by double-clicking on it:
- Absences > Entry > Absence and tardiness grids
- Absences > Entry > Absences foreseen by the guardians
- Absences > Entry > List of absences and tardiness
- Absences > Tableaux de bord > Today's dashboard
- Absences > Mass mail > Mass mailing of absences and tardiness
Indicate that an absence (or tardiness) has been settled administratively
You can indicate that an absence has been administratively settled in all displays that have a column SA, by double-clicking on it:
- Absences > Entry > Absence and tardiness grids
- Absences > Entry > Absences foreseen by the guardians
- Absences > Entry > List of absences and tardiness
- Absences > Tableaux de bord > Today's dashboard
- Absences > Mass mail > Mass mailing of absences and tardiness
- all the displays Absences > Monitoring.
Review a student's attendance record
Today's dashboard
The dashboard is a display dedicated to the staff who need to have an overview at any time of absences, attendances and other events taking place in the institution.

Tab Monitoring
The four displays in the tab Monitoring allow you to access a summary of the follow-ups entered for each absence or tardiness.
From these displays, you can:

- summon a student to Student Administration
- add follow-up elements for the concerned absence (or tardiness)
- start a conversation with the guardians directly from this window.
Tab Summaries per student
The five displays in the tab Summaries per student allow you to put into perspective different information concerning a student's attendance and punctuality over a given period.
In the display Absences > Summaries per student > Summary of absences, tardiness and visits to the infirmary, filter student absences and tardiness by motive.
In the display Absences > Summaries per student > Summary of absences and tardiness per month, identify the students concerned by absenteeism alerts and reports.
In the display Absences > Summaries per student> Details per half-day of absences and tardiness, obtain the attendance rate for each student.
In the display Absences > Summaries per student > Summary of absences, tardiness and visits to the infirmary, filter student absences and tardiness by motive.
In the display Absences > Summaries per student > Summary of absences and tardiness per month, identify the students concerned by absenteeism alerts and reports.

Mailing absenteeism alerts and notifications
At the start of the year, you configure the alert thresholds for families and the Reginal Education Authority: students who exceed these absence thresholds (calculated in half-days) are clearly identified in the display. Absences > Dashboard > Absence report chart.
Mailing alert letters to guardians
- Go to the display Absences > Dashboard > Absence report chart.
- Choose the month to be taken into account from the drop-down menu.
- If students have reached the alert threshold, their number appears in the box Parental Alert; click on this box to display the list of concerned students.
- Select all the students, right-click and choose Alert the parents.
- Leave the suggested default template or click on To choose to select another template from the category Report.
- Click on Print.
Mailing notification letters to the Regional Education Authority
- Go to the display Absences > Dashboard > Absence report chart.
- Choose the month to be taken into account from the drop-down menu.
- Click on the number of students who have exceeded the threshold for reporting to the Regional Education Authority: the list of concerned students is displayed below.
- Select all the students, right-click and choose Report to the academy (Regional Education Authority).
- Leave the suggested default template or click on To choose to select another template from the category Report; at the same time, you can send a letter to the parents informing them of the report.
- Print or e-mail the letter.
