  • How to organize an oral exam over several days?

You know that the class has an oral exam that takes place over several days due to the population of the class or when planning your oral exam, HYPERPLANNING tells you that not all students are scheduled to pass and therefore several sessions will be needed to pass all students.

First step: determine the number of groups needed

By using the procedure for creating an oral exam, you can determine the number of students who can take their oral exam in the time slot you have determined.

  1. Go to the tab Schedules > Oral exams > List.
  2. Create an oral exam on one of the designated slots with your entire class.
  3. Select the created oral exam to display it, in the window on the right, select the students who have an examination time, HYPERPLANNING shows you their number.

  1. From this number, determine the number of groups needed.

If you have slots with different durations during the oral exam period, repeat the procedure to determine the number of students for each slot duration.

Second step: create the groups for the running order

  1. Go to the tab Schedules > Classes > List.
  2. In the list on the left, select the class for which you want to organize an oral exam session.
  3. Right-click Modify > Add the groups...
  4. Create the total number of groups needed, even if they do not all have the same size.
  5. Determine the size of each group by indicating it in the column Entered population. If it is not visible, click on the button  at the top right of the list and move it to the displayed columns.
  6. Select all created groups and assign students to them with a right-click Distribute the students > In the selected groups or options...
  7. Choose to follow the alphabetical order or not for the distribution in the groups.
  8. HYPERPLANNING assigns students within the limits of the entered population.

To organize new oral exams by changing the distribution of students, select all groups, right-click Modify > Remove all the students... then randomly or manually reassign students to groups.

Third step: planning the oral exam session

  1. Go to the tab Schedules> Oral exams > List.
  2. Create an oral exam for each group respecting the correlation between slot duration/group population
  3. Adjust the running order and notify the students.
