Automatically generate the courses
Step 1: Break down the current services
- Go to the display Pre-incoming year > Preparation of courses>
Provisional services.
- Select a class from the list on the left: the list of the class's provisional services appears on the right, as you defined them in the display Pre-incoming year > Provisional classes >
Services.
- If your institution is a high school, deactivate the specialization services: double-click on the green dot in front of the concerned service.
The tab Pre-incoming year > Specializations and needs allows you to take into account the specialties studies in the calculation of provisional needs. However, it is less suitable for creating specialization courses than the tab Timetable > Specializations and needs. This is why we strongly advise you to deactivate the corresponding services, and create the specialization groups in the display Timetable > Specializations and needs >Generation of the specialization groups.
- To modify the division of a service, double-click in the column No. courses: a window appears.
- Tick the "formats" courses necessary for the division of the service, each time specifying the number of copies desired in the second column; If the total obtained appears in red at the bottom of the window, it is because it does not correspond to the number of hours planned for this service.
- Click on Transform: the division is applied to the service.
- If you already know the name of the teacher who will ensure the service, double-click in the column Teachers, tick the teacher to add, then click on Validate.
Step 2: Align the services and generate the courses
- Go to the display Pre-incoming year > Preparation of courses >
Alignment of the services.
- If you prefer to work level by level or class by class, filter the data using the drop-down menu at the top right of the screen.
- Services already aligned appear in the table in the same color. Select the remaining services to be aligned, right-click and select Align the services... a window appears on the screen.
All services can be aligned with each other, as long as they have the same division (for example, two services in 1.5 = 1*1:30 can be aligned, while one service in 1.5 = 1*1:30 cannot be aligned with a service in 1.5 = 3*0:30). - If you know the names of the teachers assigned to these services, double-click in the box Teachers, then tick the teacher(s) you wish to add.
- Eventually, add a number of additional teachers in the column No. add. teach. (in the end, the number of designated teachers will correspond to the total of the columns Teachers and No. add. teach. added together).
For alignments of different subjects, we recommend modifying the generic subject name/alignment color to improve table legibility, and subsequent course listing. For example, enter FL2 for an alignment of German and Spanish. - Then you can:
- either create courses directly from this display, without going through step 3 - in this case, teachers who have not been designated will have to be manually assigned to courses in the module Timetable,
- or assign teachers manually from the display Pre-incoming year > Preparation of courses >
Assigning of teachers to services, then create the courses,
- or assign teachers automatically, then create courses.
Step 3: Assign teachers to the services (optional)
Manual assignment
- Go to the display Pre-incoming year > Preparation of courses >
Assigning of teachers to services
- Select the services covered by the same teacher, right-click and then click on View the assignment of teachers.
- In the pop-up window, double-click in the column Teachers, then tick the teacher you wish to assign.
Automatic assignment
- Go to the display Pre-incoming year > Preparation of courses >
Assigning of teachers to services.
- The teachable subjects of each teacher have, in principle, already been entered from the display Pre-incoming year > Teachers >
List (column Teachable subjects); If necessary, complete on a case-by-case basis by clicking on Add the subjects.
- By default, teachers can be assigned to all levels; if necessary, click-and-drag out of the list the levels to which a teacher should not be assigned to delete them; for each level, you can also specify an assignment priority (column P.) and a maximum number of classes to be assigned (column Max.).
- If certain teachers are not to be added to the same pedagogical team, specify the incompatible teacher by clicking on Add incompatible teachers.
- If necessary, manually assign teachers to a service by double-clicking in the column Requested teacher, then double-click in the column to lock the assignment.
If some teachers have been manually assigned from the display Pre-incoming year > Preparation of courses >Assigning of teachers to services, their name also appears in the column Requested teacher, and their assignment is locked by default.
- Click on the button Launch a distribution simulation: a window appears.
- If you want to take teachers' unavailability into account, tick the corresponding box and click on Launch a simulation: teachers are dispatched by service.
If you're not completely satisfied with the distribution, lock the teachers for whom the distribution suits you, then relaunch it for the others. You can also un-tick the box Take into account teachers' unavailability to remove this constraint. - Verify the distribution result:
- In the display Pre-incoming year > Distribution of services > Consumptions per discipline, verify that the distribution made is consistent with the number of teaching hours planned for each teacher - if any AOH (HSA) have been mobilized, they appear in the column OT Hr. (H. sup.); if any student hours are without teachers, EDT will inform you of the number of hours not allocated.
- In the display Pre-incoming year > Distribution of services >
Pedagogical team, verify the characteristics of the classes (pedagogical teams, number of students, distribution of the population by ETM (MEF)).
- In the display Pre-incoming year > Distribution of services > Consumptions per discipline, verify that the distribution made is consistent with the number of teaching hours planned for each teacher - if any AOH (HSA) have been mobilized, they appear in the column OT Hr. (H. sup.); if any student hours are without teachers, EDT will inform you of the number of hours not allocated.
Step 4: Create the courses
You can create courses from the displays:
- Pre-incoming year > Preparation of courses >
Alignment of the services,
- Pre-incoming year > Preparation of courses >
Assigning of teachers to services,
- Pre-incoming year > Distribution of services >
Summary of the services.
- Click on the button Create the courses; a confirmation window appears.
- Click on Yes (if you have worked in the module Pre-incoming year on a new base, and not on the base of the current year).
- A new confirmation window appears, click on Yes again: the courses are transferred to the display Timetable > Course >
List - if courses were already present, these are overwritten.
It is recommended to perform this action once for all levels, and not to return to the module Pe-incoming year at a later time, except for student distribution, which can be performed after course creation.
