  • Pre-incoming year: Create specialization programs for estimating provisional requirements

Needs groups

The notion of "period" doesn't exist in the module, so you can't distinguish between a group service and full class service for the French and Math services of the concerned 6th and 5th grade ETM.
If the group courses you're planning require more teachers than the full class courses, calculate your provisional needs on the basis of the number of groups required, not the number of classes.
If necessary, teachers who are " in surplus " during full class periods can be added as co-teachers or assigned to other types of courses (hours of support or accompanied studies, for example).
 
Enter the number of groups manually, directly in the display Pre-incoming year > Provisional needs > Projection per subject. Provisional needs

Specialization studies

If you already know the list of suggested pathways and the number of groups required per subject, enter these numbers directly in the display Pre-incoming year > Provisional needs >  Projection per subject.

If this is not the case, use the display Pre-incoming year > Specializations and needs > List of the proposed offers to carry out this calculation.

Prerequisites: specialization subjects have been identified as such in the display Pre-incoming year > Subject >  List (column Spec.).

Step 1: Enter the institution's offer

  1. Go to the display Pre-incoming year > Specializations and needs > List of the proposed offers.
  2. In the panel Specialization offers, click on Create an offer for the concerned ETM; enter the designation of the offer then validate with the key Enter of your keyboard: a window List of ETM appears.
  3. Tick the ETM affiliated to this offer and click Validate.
  4. In the panel Proposed specialization studies, click on Define the specialization studies: a window Selection of the subjects appears.
  5. Tick the concerned subjects, then click on Validate.

Step 2: Calculate the number of groups required


If the list of programs is defined in a specific way by the institution

  1. Go to the display Pre-incoming year > Specializations and needs > List of the proposed offers.
  2. Create a list of possible programs:
    • either by manually adding the programs one by one (command Create a program > Manually create a program);
    • or by generating a list of all possible programs (command Create a program > Generate all the possible programs) - if necessary, then remove unnecessary programs (command right click + Delete).
  3. Enter the provisional population in the column Entered pop.
  4. Specify the minimum population (Min. pop.) and maximum (Max. pop.) wanted by subject and by need A, B or C: the number of groups required is calculated automatically.
  5. As the year progresses, gradually readjust the population: the number of groups required is automatically recalculated.


If the list of programs is defined according to the students' wishes

  1. Go to the display Pre-incoming year > Distribution of the students >  Students and wishes.
  2. Import the students' wishes:
    • either from a copy of the current year's PRONOTE database via the command Imports/Exports > PRONOTE > Recover the data related to the orientations in PRONOTE
    • or from a spreadsheet via the command Imports/Exports > TXT/CSV/XML/SQL > Import a text file.
  3. Verify for each student that:
    • his/her provisional ETM has been correctly imported (column Provisional ETM),
    • his/her provisional options have been correctly imported (column Provisional options, or columns Option 1 provisional, Option 2 provisional, etc.).
  4. Return to the display Pre-incoming year> Specializations and needs > List of the proposed offers. 
  5. In the panel Proposed program, click on Create a program and select the option Generate the necessary programs: a confirmation window appears, click on Yes.
  6. The number of groups required is automatically calculated for each subject (panel Studies proposed by the offer, column No. Gr.).
  7. If necessary, adjust the expected minimum and maximum numbers per group and subject: the number of groups required is automatically recalculated accordingly.


Step 3: Enter the number of groups required in the list of provisional needs

  1. Go to the display Pre-incoming year > Provisional needs >  Projection per subject.
  2. Select the calculation mode Provisional classes.
  3. For each subject, perform the necessary alignments and then manually enter the number of groups calculated in the previous step.
If you need to calculate provisional needs on the basis of the ETM, the numbers of groups obtained are automatically transferred to the table when you click on the button Update the number of structures.
