  • Generate the meeting schedule

The meetings to be scheduled are automatically created by EDT according to the desiderata entered by the participants: EDT creates the meeting if one of the two participants wishes the meeting (unless the other participant clearly indicates that he does not want it).

1. Manually place certain meetings

If necessary, you place certain meetings manually and EDT calculates the meeting schedule while respecting each participant's unavailability.
  1. Go to the display Parent/Teacher meetings > Meetings > Meetings' grid.
  2. Select the meeting from the list on the left.
  3. Click and drag the green frame onto the wanted slot and double-click to place the meeting.



  4. Select the meeting, right-click and choose  Lock so that EDT does not move it during the automatic placement.



    Note
    In My preferences > Placement > Placement of meetings, you can choose to automatically the manually placed meetings.


2. Automatically place the meetings

During the calculation, EDT respects the breaks, inter-meetings, and unavailability of the participants. Among the proposed meetings, only those wanted by at least one of the two participants were retained. The meetings are placed according to their priority.
  1. Go to the display Parent/Teacher meetings > Meeting >   List of meetings 
  2. Launch the command Edit > Update the session's meetings to be sure to work with all the updated meetings.



  3. Launch the placement of meetings with the command from the menu Calculation > Launch auto-placement.



  4. If there are still failed meetings (icon Non placée), verify the teacher occupancy rates (POR column) in the display Parent/Teacher meetings > Teachers > Information form: if the POR remains greater than 100%, the number of scheduled meetings is too large for the defined slot. Then use the automatic solver in the menu Calculation > Resolution.

    Advice
    Don't hesitate to improve your timetable by optimizing the meetings in the menu Calculation > Optimization.
  5. Once the placement is complete, enter the room occupied by each teacher.

If an absence is entered after the scheduling of meetings, EDT suggests that you cancel the meetings..


3. Configure the display of the meeting schedule

  1. Go to the display Parent/Teacher meetings > Meetings > Meetings' grid, click on the button Configurer la grille des rencontres at the top right of the grid.
  2. In the pop-up window, select the resource (Teachers/Guardians/Staff/Students) in the drop-down menu and un-tick information you do not want to display. By default, meetings are colored according to the wishes expressed by the parent or teacher; you can delete this information by un-ticking Display the desiderata.


4. Send convocations/schedules to the participants

  1. Go to the display Parent/Teacher meetings > Meetings > Meetings' grid.
  2. Select the teachers/guardians with the keys Ctrl + A of your keyboard.
  3. Click on the button Imprimer in the tool bar.
  4. n the pop-up window, choose a list print or schedule and select the output mode: paper, e-mail, PDF or iCal.
  5. Click on Print.
