Enter the absences and replacements

Entry of absences and replacements.
From the entry of absences and replacements, you enter the teachers' absences and organize at the same time their short or long-term replacement.
If you do not yet know who will ensure the replacement, you can share from this same display, the proposals for the teachers.
When a teacher is entered as absent, their courses are cancelled; the room becomes available and students can be placed in Study Hall.

1. Prerequisite
Before the start of entering absences, verify the following configurations to ensure that the absences you enter will be taken into account.
- To customize absence motives and statuses: go to Parameters > General > Absences.
- To activate the additional missions: go to Parameters > General > Missions.
- To assign complementary missions: go to Timetable > Teachers > List.
- To enter teacher replacement preferences: go to Daily management and absences > Teachers >
Privileged time frames for substitution. - To enter teacher replacement preferences: go to Daily management > Teachers > Privileged time frames for substitution of the teachers.
2. Enter the absence of a teacher
- Select a teacher from the list on the left.
- Select the concerned week(s) on the slider below the grid.
- Select Absences, then the motive of the absence in the dropdown menu.
- Click and drag on the time slots where the teacher is absent: they appear in the color of the motive. To reduce or delete the absence, click and drag again on these slots.
Note
If you enter a long-term absence (by default, from 15 days) and there are inconvenient arrangements over the period of the absence, you are immediately alerted and you can choose to keep them or not. - A line summarizing the absence appears at the bottom of the screen.
You can at any time find the dates of entry and the authors of absences recorded on the line that summarizes the absence. To do this, click on the button
, and add the columns Created on and Created by.
If you enter an absence after scheduling meetings, EDT suggests that you cancel those meetings.
3. Organize a short-term replacement STR (RCD)
- After entering the absence, select the absent teacher in the list on the left and the concerned absence in the list at the bottom of the screen (that is, the end of step 1 to enter the absence).
- Select the option Short Term Replacements (STR) (RCD) above the grid.
- In the bottom list, double-click in the column Replacements.
- In the pop-up window, use the filter options to narrow down the list of teachers. If the replacement is carried out within the framework of the PACTE teacher program click on the button
of the filter Mission members and only tick the wanted missions in the window that appears.
To further reduce the list, then tick Only if there are unassigned commitment hours remaining.- You can either:
- assign a replacement: select the replacement from the list, then click the button at the bottom of the window Assign the substitute. If the replacement is carried out as part of the PACTE teacher program, assign the mission via the drop-down menu in the column Mission to be associated with the course (the number of hours worked out of the number of hours planned for this mission appears in parentheses).
- propose the replacement to the teachers: click the button at the bottom of the window Suggest substitutes then choose a sending mode.
For sending by SMS, verify that you have indeed activated the service.
For sending an e-mail, you can change the template in Communication > Mail and documents > Display the templates.

4. Organize a long-term replacement
The option Long-term substitution allows the substitute to have access to homework notebooks, grades, take attendance, be easily added to class committees or parent-teacher meetings, and you keep a record of teachers' actions.
If you replace the absent teacher with the substitute in multi-select from the course form, in the tab Timetable, you will not be able to differentiate the follow-ups: if the replacement occurs during a trimester, for example, it will no longer be possible to distinguish the grades given by either professor.
By default, a replacement is considered long if it lasts at least 15 days. This duration can be changed.
- Make sure that the replacement exists in the list of teachers and, if necessary, create it.
- Select the teacher to be replaced in the list on the left, the period of absence on the slider, as well as the concerned absence in the list at the bottom of the screen.
- Then select the option Long-term substitution at the top right. By default, a replacement is considered long if it lasts at least 15 days; you can change this duration by clicking the button
next to it. - In the absence line at the bottom, double-click in the column Replacements. In the new window, click on the button
to select the substitute. - If necessary, specify the services to be replaced, the time slots and the days concerned by their replacement.
- Indicate how grading services should be managed:
- Do nothing: by selecting this option, you are postponing the configuration of the grading service (the modification of the service must be made in PRONOTE in the display Resources > Teachers > Teachers' services).
- Manage as a co-teaching: the substitute will have the same rights over the service as the absent teacher (modification of grades, entry of appraisals...)
- Create a sub-service with the replacement: the substitute will only be able to intervene on his sub-service; only the absent professor keeps control of the service.
- Create a service on behalf of the replacement: each teacher has a dedicated service (caution, this option can block the transfer to national applications that accept only one service).
- Click on Validate.
If several substitutes share the courses, repeat the operation (from step 3) as many times as necessary.
5. Put the students in Study Hall following an absence
Proceed as for a short-term replacement:
- Select a teacher from the list on the left.
- Select the concerned week(s) on the slider below the grid.
- Select Absences, then the motive for the absence in the drop-down menu.
- Click and drag on the time slots where the teacher is absent: they appear in the color of the motive.
- Select the option Short Term Replacements (STR) (RCD) above the grid.
- Click and drag the time slot again. A R appears on the slot.
- In the available teacher's selection window, select the line Study Hall.
- Validate at the bottom of the window by clicking on the button Place in Study Hall.
