  • Enter the unavailability of the staff

To specify requirements and wishes regarding staff scheduling, you can enter unavailability and/or wishes. Unavailability (red) should be reserved for mandatory cases (when staff cannot be scheduled during that time slot). For all other cases (where it would be preferable for staff to be or not be scheduled during that time slot), enter optional unavailability (orange) or wishes (green). 

1. Distinguish between unavailability, optional unavailability, and wishes

Unavailability (red)

Unavailability (red) should be reserved for essential cases, when staff cannot be assigned to a course or Study Hall during that time slot. During automatic placement, EDT does not place any courses involving these staff members during their unavailability periods. 

For example, if a staff member is working at another institution on Monday, you mark all Monday time slots as unavailable.

Optional unavailability (orange)

Unavailability (orange) is used to indicate time slots during which it would be preferable for a staff member not to be mobilized. During automatic placement, optional unavailability is treated by EDT as unavailability until you decide to ignore it in order to resolve course in failure.

For example, if an employee prefers not to work on Tuesday afternoons, click and drag the orange paintbrush over the Tuesday afternoon time slots.

 


Note
When you decide to ignore optional unavailability to resolve courses in failure, the optional unavailability of all staff members is temporarily ignored. Therefore, do not enter mandatory requirements as optional unavailability.

Advice
If staff need a half-day off but don't have a specific preference for the day, use time constraints rather than blocking off a half-day on the grid with optional unavailability.

Wishes (green)

Preferences allow you to specify the time slots during which it would be preferable for staff to be mobilized. During automatic placement, EDT tries to take these into account, but they are by no means guaranteed, unlike unavailability or time constraints.

For example, if an staff member prefers to work in the morning, click and drag the green paintbrush over all the mornings.

2. Enter a staff member's unavailability or wish

  1. Go to the display Timetable > Staff > Unavailability, wishes and constraints and select the staff.
  2. On the right-hand panel, above the time grid, make sure the correct paintbrush (red, orange, or green) is selected and that the frequency is correct (Weekly, or Weeks F1/Weeks F2 if the unavailability or wish only applies every other week).
  3. If classes have already been planned, they appear with the icon [icone].
  4. Click and drag the paintbrush over the time grid to paint the time slots concerned by unavailability or the wish.

3. Delete an unavailability or a wish for a staff member

To delete an unavailability or a wish, select the paintbrush of the same color and click and drag over the painted area.



4. Enter an unavailability or a wish for a multi-selection of staff members

If several staff members have the same unavailability, you can enter them in a single operation. To do this, select all the concerned staff members, then click and drag the red paintbrush on the grid.
For example, you can set aside a time slot on Monday mornings so that a team can organize events.
