1. Differentiate between unavailability, optional unavailability, and wish
Unavailability (red)
Unavailability (red) is to be reserved for imperative cases, when the room cannot be occupied during a time slot. This is, for example, the case of sports facilities whose availability is imposed on the institution. During the automatic placement, EDT does not place any courses that mobilize this room due to unavailability.
For example, if the gym is not available on Mondays, you set an unavailability on all Monday time slots.
If the institution has two slots for the pool, do not place courses manually; instead create a "Pool" room, paint in red all the unavailability grid except for the two available slots and assign it to the concerned courses. This will give EDT more flexibility during the automatic placement: the schedules will only be better.
Optional unavailability (orange)
Unavailability (orange) indicates the time slots during which it would be preferable for a room not to be occupied. During automatic placement, optional unavailability is considered by EDT as unavailability until you decide to possibly ignore them to resolve failed courses.
For example, if it is preferable that the laboratories are not busy on Friday afternoon, click drag the orange paintbrush onto the Friday afternoon time slots.
When you decide to ignore optional unavailability to resolve failed courses, the optional unavailability for all rooms is temporarily ignored. Therefore, do not enter as optional unavailability imperatives.
Wish (green)
Wishes allow you to designate the time slots during which it would be preferable for a room to be occupied. During the automatic placement, EDT tries to take this into account but they are in no way guaranteed, unlike unavailability or time constraints.
For example, if the rooms on a floor should be primarily occupied in the morning, click drag the green paintbrush every morning.
2. Enter an unavailability or a wish for a room (or a room group)
If the room is assigned to a room group [link], it is on the grid of the room group that you enter the unavailability. Indeed, all the rooms in a group must share the same characteristics, notably unavailability.
- Go to the display Timetable > Rooms >
Unavailability, wishes and constraints and select the room or room group. - On the right panel, above the time grid, verify that the correct paintbrush (red, orange, or green) is selected and that the frequency is correct (Weekly, or F1 weeks/F2 weeks if the unavailability or the wish is only one week out of two).
- If courses have already been scheduled, they appear with the [icon].
- Click drag the paintbrush on the time grid to paint the slots affected by the unavailability or the wish.
3. Delete an unavailability or a wish for a room
To remove an unavailability or a wish, take the paintbrush of the same color and click drag on the painted area.
4. Enter an unavailability or a wish for a multi-selection of rooms
If several rooms have the same unavailability, you can enter them in a single operation. To do this, select all the rooms concerned before clicking and dragging the red paint brush on the grid.
For example, you want the music room and the art studio to never be occupied before 10 a.m.
