  • Enter teachers' unavailability and constraints

To translate the imperatives and wishes of teachers, you can enter unavailability, wishes and/or time constraints. Unavailability (red) should be reserved for imperative cases (the teacher cannot have courses during this time slot). For all other cases (the teacher would like not to teach during this time slot), preferably provide optional unavailability (orange), wishes (green) or time constraints. 

1. Enter the unavailability and wishes on the grid

Differentiate between unavailability, optional unavailability, and wish

Unavailability (red)

Unavailability (red) should be reserved for imperative cases, when the teacher cannot teach during this slot. During the automatic placement, EDT does not place any teacher's course on his/her unavailability. 

For example, if a teacher works at another institution on Monday, you place an unavailability on all Monday time slots.

Optional unavailability (orange)

The unavailability (orange) indicates the slots on which a teacher would like to have no courses. During automatic placement, optional unavailability is considered by EDT as unavailability until you decide to possibly ignore them to resolve failed courses (learn more). 

For example, if a teacher prefers not to work on Tuesday afternoon, click drag the orange brush onto the Tuesday afternoon time slots.

Note
When you decide to ignore optional unavailability to solve failed courses, the optional unavailability of all teachers is temporarily ignored. Therefore, do not enter as optional unavailability imperatives (part time, additional service at another institution, etc.).
Advice
If the teacher needs a half-day off but does not have a real preference for the day, use the time constraints rather than blocking a half-day on the grid with optional unavailability.

Wish (green)

Wishes allow you to designate the slots during which the teacher would prefer to have classes. During the automatic placement, EDT tries to take this into account but they are in no way guaranteed, unlike unavailability or time constraints.

For example, if a teacher prefers to work in the morning, click and drag the green paintbrush on every morning.

 

Enter an unavailability or a wish for a teacher

  1. Go to the display Timetable > Teachers > Unavailability, wishes and constraints and select the teacher.
  2. On the right panel, above the time grid, verify that the correct paintbrush (red, orange, or green) is selected and that the frequency is correct (Weekly, or F1 weeks/F2 weeks if the unavailability or the wish is only one week out of two).
  3. If courses have already been scheduled, they appear with the [icon].
  4. Click drag the paintbrush on the time grid to paint the slots affected by the unavailability or the wish.

Delete an unavailability or a wish for a teacher

To remove an unavailability or a wish, take the paintbrush of the same color and click drag on the painted area.

Enter an unavailability or a wish for a multi-selection of teachers

If all teachers have the same unavailability, you can enter them in a single operation. To do this, select all the teachers with the shortcut Ctrl + A before clicking drag the red paintbrush on the grid.
For example, if you do not use the automatic management of half board, you can set the lunch break by filling in an unavailability for all teachers in the concerned time slot.

Enter unavailability by default for future teachers

If you want the teachers created or imported later to have the same unavailability, you can enter this unavailability in the standard teacher grid. Each new teacher will have this unavailability by default.

  1. In the menu Edit, select Teachers' standard grid.
  2. In the pop-up window, click and drag on the common time slots.

2. Enter the time constraints

You can enter different types of time constraints. During automatic placement, EDT complies with all the constraints. When resolving failed courses, you can occasionally ignore certain constraints (learn more). Manually, you can also ignore them if necessary.

  1. Go to the display Timetable > Teachers > Unavailability, wishes and constraints and select al teacher (or several teachers with the same time constraints).
  2. In the right-hand panel, enter the time constraints:
    • Time maximum: enter a maximum number of course hours per day or half-day.
      To be used, for example, if a teacher wants to work more than 3 hours per half-day.
    • In-person maximum: enter, a certain number of days per week, a maximum number of hours of presence in the institution (between the first and last courses).
      To be used, for example, if a teacher wishes not to stay more than 5 hours per day in the institution at least 2 days per week.
    • Flexible hours: enter, a certain number of days per week, the time at which the teacher must start at the earliest or finish at such a time at the latest.
      To be used, for example, if a teacher wants to start at 9 o'clock at the earliest on at least 3 days a week.
    • Guaranteed free ranges: enter the number of free days or half-days to be respected per week. 
      To be used, for example, if a teacher wants 2 half-days off during the week.
    • Maximum half-days of work: Enter a maximum number of half-days of work, specifying whether they are mornings or afternoons.
      To use, for example, if a teacher needs 3 free afternoons (that is, maximum 2 afternoons of work).

      Note
      The concepts of free day and half-day depend on what has been defined for the time grid. For example, depending on the case, a Wednesday not worked can be counted as a half-day off or as a free day.
    • Optimization preferences: the number of gap hours allowed is taken into account only when optimizing timetables (learn more), after their development. By default, it is set to 2 for all teachers. Reduce it only if it is essential that a teacher does not have gaps in his schedule.

Advice
The teachers' wishes are constraints on the timetable. In general, fewer constraints are entered, better the timetables. From this perspective, enter unavailabilities for the teachers' real constraints (part time, additional service at another institution) and use time constraints sparingly to express their wishes. Keep in mind that it is always preferable, in terms of timetable calculation, to request a free day rather than entering an unavailability on a weekday.
