Create a single meeting

Creating meetings allows you to arrange an occasional meeting with a student and/or the student's guardians.
When you send a meeting request to a student, the meeting is automatically added to his or her agenda and to yours.
When you send a meeting proposal to a guardian, you must wait for him/her to validate the proposed slot before the meeting appears in your agenda. If none of the slots are suitable, the guardian can send you a telephone number so that you can contact him/her again.

For students

  1. Go to the display Communication > Meeting >  Meeting.
  2. In the left column, select Single meeting > Students, then click on the button New meeting.



  3. In the pop-up window, double-click the field Student, then select the student from the list.



  4. Enter the subject and content of the meeting
  5. If necessary, attach a document by clicking the button .
  6. Specify the duration of the meeting.
  7. Set the date, time, mode (In person or by phone) and location of the meeting, then click on Validate.



  8. The meeting is added to the list of meetings, to your agenda and to the student's agenda.

For guardians

  1. Go to the display Communication > Meeting >  Meeting.
  2. In the left-hand column, select Single meeting > Guardians, then click on the button New meeting.



  3. In the pop-up window, double-click the field Guardian(s), then select the guardian(s) from the list; if necessary, you can request the student's presence by ticking the corresponding box.



  4. Enter the subject and content of the meeting
  5. If necessary, attach a document by clicking the button .
  6. Specify the duration of the meeting.
  7. Click on the button to add one or more time slots:
    • to add slots one by one, select New slot, then specify the date, time, mode (In person or by phone) and the location.




    • to propose several slots over a specific time period (a morning or late evening, for example), select Define slots from a time range; the number of slots defined depends on the meeting duration set in step 6; if you are unavailable during certain slots within the range, you can delete them individually.




  8. In either case, you can always delete a slot by clicking on the button before clicking the button Validate



  9. The meeting is added to the meeting list—you must wait for approval from the guardians before the meeting appears in your agenda. Hover your mouse over the column Slot(s) to view the proposed times.




Note
If you see the icon next to a time slot, it means that the slot in question is now booked for another meeting. It is therefore no longer available to guardians.

Create a series of meetings

Creating a series of meetings allows you to organize meeting sessions. You create all the slots offered to students and/or their guardians simultaneously. If the meeting session concerns students only, a slot is automatically allocated to them: the allocated meeting appears in their agenda as it does in yours as soon as the meeting is created. You must wait for confirmation from the guardians before the meeting appears in your agenda.
Creating a series of meetings is not a suitable tool for managing parent-teacher meetings. Use the parent-teacher meeting management module in EDT. It includes all the necessary tools, from planning to follow-up: taking into account requests, room allocation, schedule calculation, convocations, follow-up, etc.

For students

  1. Go to the display Communication > Meeting >  Meeting.
  2. In the left-hand column, select Series of meetings > Students, then click on the button New meeting.



  3. In the pop-up window, double-click on the field Students, then select students from the list.



  4. Enter the subject and content of the meeting
  5. If necessary, attach a document by clicking the button .
  6. Specify the duration of the meeting.
  7. Click on the button to add one or more time slots:
    • to add slots one by one, select New slot, then specify the date, time, mode (In person or by phone) and the location of the proposed slot.



    • to add several slots over a specific time period (a morning, for example), select Define slots from a time range; the number of slots defined depends on the meeting duration set in step 6; if you are unavailable during certain slots within that range, you can delete them manually.



  8. In either case, you can always delete a slot by clicking on the button Supprimer un créneau pour un rendez-vous before clicking the button Validate. Make sure you have as many time slots as there are participants.



  9. The meetings are added to the meeting list, your agenda, and the students' agendas.



For guardians

  1. Go to the display Communication > Meeting >  Meeting.
  2. In the left-hand column, select Series of meetings > Guardians, then click on the button New meeting.



  3. In the pop-up window, double-click on the field Guardian(s), then tick the guardians in the list; if necessary, you can request the student's presence by ticking the corresponding box.
  4. Enter the subject and content of the meeting
  5. If necessary, attach a document by clicking the button .
  6. Specify the duration of the meeting.
  7. Click on the button to add one or more time slots:
    • to add slots one by one, select New slot, then specify the date, time, mode (In person or by phone) and the location.
    • to add several slots over a specific time period (a morning, for example), select Define slots from a time range; the number of slots defined depends on the meeting duration set in step 6; if you are unavailable during certain slots within that range, you can delete them manually.
  8. Click on the button Validate.
