Assigning students to classes
At the end of the year, the work done on the DTMD (TRMD) can be continued in the tab. Distribution of the students to assemble your classes - this tab can also be used independently of the other tabs in the module.
Table of contents
Step 1: Update the list of students
Copy the data to the current year's base
- Log on to the current year's Client EDT, then go to the display Timetable > Students >
List.
- Click on the button
to select the columns to be displayed; only select the columns Surname, First name, Date of birth, Gender, Class, ETM (MEF) and all the columns Option required.
The column Options (which combines all options in a single column) cannot be imported. - Select all students in the institution (command Ctrl + A) then copy the list to your clipboard (command Ctrl + C).
Paste data into the Pre-incoming year base
- Open the base Pre-incoming year in EDT Single-user, then go to the display Pre-incoming year > Distribution of the students >
Students and wishes.
- Paste the list (command Ctrl + V): a data import window appears.
- Assign a designation to each column, then import the list.
- Verify the list; if you already know that some students will not be enrolled in the institution next year, you can delete them - conversely, you can also add students (possibly with a provisional name) to anticipate the number of students to be distributed.
Other columns can be imported if required (for example, accompaniment projects) - for a list of all data that can be imported in the display Pre-incoming year > Distribution of the students >Students and wishes, click on the button at the top right of this list.
Step 2: Enter individual information useful for distributing students
Pedagogical information
- Go to the display Pre-incoming year > Distribution of the students >
Students and wishes.
- Enter the provisional ETM (MEF) in multi-selection or import them from the current year's base (Client EDT) or from a spreadsheet; if the student's provisional ETM (MEF) depends on the same level as the current year's ETM (MEF), the column Provisional repeating grades student is automatically ticked.
- For each student, indicate the pedagogical information for the year in preparation:
- the provisional options,
- the grade level, conduct and absenteeism (defined by default on a scale from A to C).
As with the provisional ETM (MEF), this information can be entered manually or imported. By clicking on the buttonat the top of the column Prov. opt. you can also recover the previous year's options.
The advantage of the tab Student distribution is that the software fills in the column Provisional class automatically and "intelligently", taking into account all the indications given. Enter information in this column only if you want to impose a class on a student; to ensure that the student is not moved to another class during automatic distribution, remember also to lock the student.
Wishes for grouping and separation
- Go to the display Pre-incoming year > Distribution of the students >
Students and wishes.
- Select a student from the list; in the rubric Grouping and separation wish, click on Add a student.
- Select the option Group with or Separate from.
- In the window, select the concerned student(s).
Thanks to the command Imports/Exports > PRONOTE > Recover the useful information for the distribution of students, you can recover data on bullying cases from the previous year and separate the concerned students.
Accompaniment projects
- Connect to Client EDT (or PRONOTE) of the current year, then go to the display Timetable > Students >
List.
- Click on the button
to select the columns to be displayed; only select the columns Surname, First name, Date of birth, Gender and Accompaniment project.
- Select the students concerned by an accompaniment project (command Ctrl + A) then copy the list to your clipboard (command Ctrl + C).
- Go to the display Pre-incoming year > Distribution of the students >
Information form.
- Paste the list (command Ctrl + V): a window Import of data appears.
- Associate a designation with each column, then import the list; the designation to be associated with the column Accompaniment project is the designation Accompaniment project > Designation.
To eventually modify this data, go to the display Pre-incoming year > Distribution of the students >Information form and click on the button of the rubric Schooling of the concerned student.
Step 3: Fill in collective information useful for distributing students
Students to be grouped/distributed
- Go to the display Pre-incoming year > Distribution of the students>
Students to be grouped/distributed.
- In the rubric Student groups to be regrouped, click on New then enter a designation.
- In the list on the right, click on Add the students to the group then designate the students to be grouped.
- Then conduct the same operation for the groups to be distributed.
Groupings and distributions made from this display are also visible in the display Pre-incoming year > Distribution of the students > Students and wishes, rubric Grouping and separation wish.
Characteristics of the classes
- Go to the display Pre-incoming year > Distribution of the students >
Assigning of the students to the provisional classes.
- Click on the button
at the top right of each class.
- In the pop-up window, you can:
- prohibit students from repeating a year;
- to have a mixed class or not;
- enter the students that EDT should not assign to this class;
- refine the population by option differently from what has been declared in STSweb.
Step 4: Distribute the students level by level
- Go to the display Pre-incoming year > Distribution of the students >
Assigning of the students to the provisional classes.
- Select the students in a level from the list on the left, then extract the selection (command Extract > Extract the selection or use the shortcut Ctrl + X).
- On the bottom right click on the button Launch the automatic distribution to configure the distribution.
- In the pop-up window:
- double-click on the green dots to activate/deactivate the distribution criteria,
- for each active criterion, change the cursor position in the column Importance of criterion
- for each active criterion, indicate whether it should be a grouping or a distribution (column Group/Distribute).
- Click on the button Distribute and optimize: the students are automatically distributed to the provisional classes.
- If necessary, tick the box Extract the students that are in failure to identify the blocking parameters, then click on Close.
- Before launching a second distribution (student in failure or new distribution by level), lock the students and/or classes for which you are satisfied with the distribution.
- Activate the command Extract > Extract all to bring back the entire list, select the next level and repeat the operation (points 2 to 7).
- Once all levels have been distributed, click on the button Validate the distribution: the data "class" and "student" entered in the module Pre-incoming year are transferred to the module Timetable.
Validating distribution overwrites the data in the display Timetable > Class >List: you have (in principle) carried out all the operations in the module Pre-incoming year in a new base, and not in the current year's database. In this case, there's no risk of "breaking" the current base if the year is not yet over. If this is not the case, you must make a copy of the base and click on the button Validate the distribution from this copy.
