1. Send information

Sending information via PRONOTE's internal messaging service enables you to reach a wide audience without engaging in an exchange (no response possible). An acknowledgement of receipt indicates whether the recipient has read the information.

Publish information

  1. Go to the tab Communication > Information and surveys.
  2. Click on the button New, then select Send information.
  3. In the pop-up window, select the recipients:
    • if the information is linked to classes or groups, click on the button to indicate the concerned classes or groups. Then tick the type of recipient: Guardians, Student, Teachers, Staff or Internship counselors.
    • if the information is not linked to a class or group, go to the tab Recipients on an individual basis click on the buttons and directly tick the recipients.
    • if the information concerns people gathered in a previously created mailing list, click on the button located on the left.
  4. If the information is addressed to guardians, choose between:
    • A dispatch per student: to obtain a single acknowledgement of receipt. Both parents can access the information, but only one acknowledges receipt.
    • A dispatch per guardian: to have several acknowledgements if there are several parents. Each parent, independently of the other, acknowledges receipt of the information.
  5. You can also use an existing information template by clicking on the button Recover a template.
  6. Give the information a title, then enter and format the text. You can also add an attachment by clicking on the button .
  7. Select a category from the drop-down menu.
  8. If you tick the option with acknowledgment of receipt, the recipients will be asked to indicate that they have received the information.
  9. Validate the information:
    • to distribute it immediately, tick Publish, then define the period during which the information should remain visible. Then click on the button Publish.
    • to come back to it later, un-tick Publish. Then click on the button Create the draft. The information can be modified from the menu Drafts on the left.
Note
You can send information from any display by clicking on the button Communication in the top right-hand corner.

Consult the acknowledgements of receipt

To obtain the list of acknowledgments of receipt, you must have ticked the option With an acknowledgment of receipt in the creation window for the corresponding information.

  1. Go to Communication > Info/surveys > Information and surveys.
  2. In the left-hand menu, select Distributed.
  3. Select the information from the list.
  4. On the right side, the reading percentage rate is indicated. To refine the results, click the button View the responses.
  5. In the pop-up window, acknowledgments are sorted by recipient category. Clicking on a category allows you to see in detail who has acknowledged receipt of the information.



2. Conduct a survey

A survey allows you to ask a question of a group of recipients and analyze their responses (open-ended or predefined). Recipients receive a notification when they log in. You can analyze the responses as people participate in the survey.

Edit a survey

  1. Go to Communication > Information and surveys.
  2. Click on the button New, then select Conduct a survey.
  3. Indicate the type of survey:
    • Nominative survey: respondents' answers appear next to their names;
    • Anonymous survey: responses are collected, but the identities of the respondents are not disclosed. You can add individual recipients to anonymous surveys.
  4. Designate the recipients:
    • if the survey is linked to classes or groups, click the button to indicate the classes or groups in question. Then tick the type of recipient: Guardians, Students, Teachers, Staff or Internship counselors.
    • if the survey is not associated with a class or group, go to the tab Recipients on an individual basis and click on the buttons and directly tick the recipients.
    • if the survey involves people assembled in a mailing list that was created beforehand, click on the button Use the mailing lists located on the left
  5. If the survey is to be communicated to guardians, you must also choose between:
    • A dispatch per student: to get a single response. Both parents can access the survey until one of them responds.
    • A dispatch per guardian: so that there can be multiple responses if there are more than one parent. Each parent completes the survey independently of the other.
  6. You can use an existing survey template by clicking the button Recover a template.
  7. Specify the title of the survey.
  8. Select a category from the drop-down menu.
  9. Choose the content of the first question and, if applicable, enter the possible answers:
    • Unique choice: the recipient can select only one answer from the options provided. By default, the answers Yes and No are provided. You can replace them with other answers by double-clicking directly on them.
    • Multiple choice: the recipient can select several answers from the suggested responses.
    • Response to be entered: the recipient must enter a free-form response limited to 200 characters.
  10. If needed, add an attachment by clicking the button .
  11. Enter as many questions as you like. You can also insert text, for example to include an introductory message (the arrows and on the side let you change the order of the texts and questions).
  12. If you want to give others access to consult the survey, click on the button to designate the concerned teachers and/or staff members they can consult the results in real time from their own Webspace by clicking on Distributed in the left-hand menu, then by selecting the survey (button View the responses).
  13. Validate the survey:
    • To distribute immediately, tick the box Publish, then set the period during which the survey should remain visible. Next, click on the button Publish.
    • to come back to it later, un-tick Publish. Click on the button Create a draft. The survey can be modified from Drafts in the left-hand menu.

Note
You can send information from any display by clicking the button Communication in the upper-right corner, then by selecting Conduct a survey.

Consult the results of a survey

Survey results are available in real time.

  1. Go to Communication > Information and surveys.
  2. In the left-hand menu, click on Distributed.
  3. Select the survey in the list.
  4. In the right-hand part, the survey content appears, and the response percentage rate is indicated. To refine the results, click the button View the responses.
  5. In the pop-up window, select a question. PRONOTE compiles the responses by recipient type: clicking on a line displays the details, unless the survey is anonymous.
