Configuration of the roll call sheet options
The following options are common to the staff's roll call sheet (Study Hall/Library) and the teacher's roll call sheet - to modify them, go to the menu Parameters > ABSENCES AND ROLL CALLS > Options.
Merge absences from successive courses
If this box is ticked, students are recorded as absent during the gap periods if they have been entered as absent by teachers before and after the gap. The configuration of this option is important if absences are counted in calculated 1/2 days.
Authorize teachers to modify absences/tardiness entered by the Student Administration on the call sheet
If the box Authorize the teachers to modify the absences/tardiness entered by the Student Administration on the roll call sheet is ticked, teachers can change the duration of an absence/tardiness entered by the Student Administration; they can also change the motive, or delete it.

Tick this box if you want students' convocations to appear on the roll call sheet (only the time of the convocation and its author's identity are visible).

If the option Automatic calculation according to the beginning time of the course is selected, the duration of the tardiness displayed is automatically set according to the time entered by the teacher (it can be modified manually if necessary). With the option Manual entry with a default duration of X minutes, the teacher enters the duration manually, the time that suits him/her.

Configure the rubrics of the roll call sheet
Activate/deactivate the rubrics displayed on the roll call sheet
The rubrics of the roll call sheet are divided into two categories: main rubrics (whose activation is imposed on teachers) and optional rubrics (which teachers can choose whether or not to activate - see the window Customization of the columns in screenshot below).
Main rubrics
- Go to the display Resources >Teachers > Authorization profiles.
- Select the concerned profile from the list on the left.
- Unfold the rubric Roll call sheet (with follow-up of students) then tick the rubrics to be activated:
- Enter the absences
- Registering/unregistering a student for meals
- Enter the exemptions
- Enter the observations
- Enter the encouragements
- Consult the without notebook/card
- Enter the tardiness
- Enter the course suspensions
- Enter the punishments
- Enter the visits to the infirmary
- Specify whether you want to authorize:
- Enter the absences/tardiness motives
- Enter the without notebook/card
- Schedule the punishments.
Optional rubrics
The list of optional rubrics can be configured in the menu Parameters > ABSENCES AND ROLL CALLS > Roll call sheet rubrics or directly in the display Resources > Teachers > Authorization profiles by clicking on the button
.


For each rubric, indicate whether the events entered in these fields should be published by default in the Correspondence notebook (column P... / Publishable) and/or if they require an acknowledgement of receipt to be entered by the guardians (column AR) - these acknowledgements of receipt can be consulted directly in the roll call sheet or on the display Student Administration > Notebook of the Teachers Webspace.
Authorize/prohibit teachers to access the follow-ups of other courses
On the roll call sheet, the follow-ups correspond to the shaded right half of the columns Absence, Tardiness, Infirmary, Punishment, etc... They show the number of events recorded since the beginning of the month/trimester/year or since a personalized date.
By ticking the box Access to the follow-up of the other courses, you also give access to events recorded by other teachers.
Authorize/prohibit teachers to enter in and/or consult old roll call sheets
Three authorizations allow you to configure the time within which a roll call sheet can be entered and/or consulted:
- Access to roll call sheets from previous days
- Prohibit the entry of absences and tardiness after the end of the course
- Consult old roll call sheets
If you want to authorize the consultation of all previous roll call sheets and their entry up to 10 working days before the current day, tick the box Consult old roll call sheets and enter a number (between 1 and 10) in the box Access the roll call sheet from the previous days.

If you wish to authorize consultation of all old roll call sheets but force them to be entered on the same day, tick the box Consult old roll call sheets and enter 0 in the box Access the roll call sheet from the previous days.

If you wish to limit consultation and entry to 10 working days prior to the current day, leave the box Consult old roll call sheets un-ticked and enter a number (between 1 and 10) in the box Access the roll call sheet from the previous days.

If you want to prohibit consultation and entry of all old roll call sheets, leave the box Consult old roll call sheets un-ticked and enter 0 in the box Access the roll call sheet from the previous days.

You can also force the entry of absences and tardiness for the concerned course hour by ticking the box Prohibit the entry of absences and tardiness once the course has ended (15 min. delay accepted).
This restriction applies only to absences and tardiness. If you tick this box and also authorize the entry of past roll call sheets, all other roll call sheet information (visits to the infirmary, punishments, suspensions, etc.) can be modified within 1 to 10 working days.
