Manage your digital locker
The digital locker allows you to communicate documents with other members of the pedagogical team or with guardians and students. These may include documents generated from PRONOTE's letter and document templates (Scholastic enrollment certificate, ASSN certificate, discharge, etc.), or any other file from your computer or cloud. These documents are updateable by their issuer, but also by their recipients if they have been given an authorization (tick activated in the column
).
Finally, the digital locker also allows staff and teachers to request documents from families. Students and/or their guardians upload their files from their Webspace: proof of insurance, permission slips, etc.

1. Deposit a document in the pedagogical team's digital locker
- Go to the display Communication > Digital locker >
Documents in the digital locker. - In the left-hand menu, in the rubric Distributed, select To the teachers, staff, and internship counselors.
- Click on Deposit a document, then select From a local file if the document is saved on your computer, or From my Cloud if it is saved on one of the proposed clouds: Digiposte, Dropbox, Google Drive or One Drive.
Note
Access to the above-mentioned clouds is only available to institutions hosted by Index Education. - Indicate the file to be imported: in the window Attachment optimization, click on the button Attach the document.

If you wish, you can convert the document to PDF: in the window, select the option Convert to pdf, click on Next then click on Attach the document. - In the pop-up window, select the nature of the document, then click on the button Validate.
- The document is imported into the list. Double-click in the column Recipients.
- In the pop-up window, select the recipients for whom the document is intended:
- All, including the newly created: the document will be automatically added to the digital locker of any new teacher or staff member added during the school year.
- By name: click on the button
to select the persons concerned in the pop-up window. - By combinations of criteria: tick classes, groups, preferential subjects, homeroom teachers, functions and/or families.
- Click on the button Validate: the document is instantly posted online. The column % read shows the percentage of recipients who have viewed the document. Clicking on this percentage opens a window that details the results by recipient type.
2. Make a document available in the Parents and/or the Students Webspace(s)
Provide a template (generated in PRONOTE)
- Go to the display Communication > Digital locker >
Documents in the digital locker. - In the left-hand menu, in the rubric Distributed, select To the students and guardians.
- Click on Distribute a document from the templates, then select a template from the list that's displayed.

Documents assigned to guardians cannot be assigned to students; conversely, you can add guardians as recipients when assigning a document to students: double-click in the column Downloadable by > Guardians, then tick the wanted option. - In the pop-up window, select the document type, then click the button Validate.
- The document is added to the list. By default, all students or parents are recipients of the document. To modify the list of recipients, double-click in the column Recipients, then select them either By name or by a Combination of criteria.
- If necessary, modify the document's publication dates by double-clicking in both columns Publication dates.
- Send a notification to recipients to let them know the document is available: configure the information content by clicking the button
, then double-click in the column Notif.
Make a document stored on your computer or in the cloud available
- Go to the display Communication > Digital locker >

to select the persons concerned in the pop-up window. - By combinations of criteria: tick classes, groups, preferential subjects, homeroom teachers, functions and/or families.
- Click on the button Validate: the document is instantly posted online. If you want to restrict access to the document to a specific time period, change the beginning and/or ending dates in the column Publication dates > From/To.
- The column % read indicates the percentage of recipients who have viewed the document. Clicking on this percentage opens a window that breaks down the results by recipient type.
3. Consult the documents deposited in your digital locker
Note
When a new document is made available to you in the digital locker, you'll receive a notification (a butterfly icon in the upper-right corner of the screen): click on it to go directly to the digital locker display. The list of unread documents also appears on your account's homepage if you've activated the corresponding widget.

- Go to the display Communication > Digital locker >
Documents in the digital locker. - In the left-hand menu, in the rubric Received documents, select deposited by the teachers and staff.

If you would want to open document deposits to your students. Tick Accept that my students can deposit documents in my digital locker. The option deposited by my students appears in the left-hand menu. Teachers and staff (including the AED (Educational assistant) and staff who supervise Accompanied studies) can then open their digital lockers to students and their guardians without creating a general collection. You can also authorize this action in the menu My preferences > Communication > Messaging service.
Note
The figure (1) in the left-hand menu indicates the number of documents that have not yet been read. The documents are categorized according to the type specified by the person who created the document. - consult the document, double-click it or right-click, then select the option Consult. You can also:
- Download the document;
- Update the document (this command is available only if the tick is activated in the column
) - Delete the document.
4. Collect documents from the guardians
Step No. 1: Create a new document request
- Go to the display Communication > Digital locker >
Documents in the digital locker. - In the left-hand menu, in the rubric Collected, select View by collection.
- Click on Collect a document, then, from the menu, select an option (To be deposited by the guardians, To be deposited by the students, or To be deposited by the guardians, representing the student) or directly click on the button
of the option you're interested in. - Enter the designation of the document to be collected, then validate with the key Enter on your keyboard.
- In the pop-up window, select the persons concerned by the data collection:
- All, including the newly created: the document will be automatically added to the digital locker of any new teacher or staff member added during the school year.
- By name: click on the button
to select the persons concerned in the pop-up window. - By combinations of criteria.
- Click on the button Validate.
- In the new window that appears, select a deposit option (with or without a deadline, for example): by clicking the button Validate, the document is instantly published on the Webspaces (unless you have chosen the option No depositing possible by parents/students).
Note
By selecting No depositing possible by parents/students, you save a "draft" request: your settings are saved, but the request is not currently published in the concerned Webspaces. To activate it when you're ready, double-click in the column To be collected on the Webspace and change the deposit method. You cannot send a notification until the request is published. - The list of people from whom you want to collect documents appear on the right side of the screen.
Note
In the column
, a counter shows how many documents have been sent. On the request line, double-click in the column
to identify staff members or teachers who are authorized to consult the collected documents.
Step No. 2: Send a notification to the guardians/students
When the document reception period is open, you can notify the relevant individuals by sending a notification via Webspaces and the mobile app.
- Click on the button
of the column Notify. - In the pop-up window, you can modify the title and content of the notification.
- In the request line, double-click in the column Notify: a window appears.
- In this window tick the box Notify the parents/students of the deposit request on (...); if necessary, change the send date (which corresponds to today's date by default), then click the button Save.
Note
If you have set a deadline for deposits, you can also set up a reminder notification a few days before the deadline. - In the notification date confirmation window, click on Yes.
Step No. 3: Consult the documents transmitted by the guardians
- Go to the display Communication > Digital locker >
Documents in the digital locker. - In the left-hand menu, in the rubric Collected, select View by collection.
- Select the document request from the list: the list of concerned individuals involved appears on the right side of the screen.
- Using the drop-down menu, you can display all individuals, only those who have transmitted the document, or, conversely, those who have not.
- To consult a deposited document, click on its title in the column Deposited document: The document opens in the corresponding application (for example, in Word for a .docx file).
Note
You can also download all the documents at once: click the button Download all the documents, in the upper-left corner of the list, then save the file Archive_[NameOfTheRequest].zip on your computer.
