  • I have too many discussions in my mailbox: how can I clean it up?

To clean up your messaging service, categorize your messages (if you haven't already done so) and archive the ones you want to keep. You can also move to the trash/permanently delete unnecessary discussions, or purge them if you wish to delete their oldest messages, but keep the most recent ones.

Categorize a discussion

  1. Go to the display Communication > Discussions > Discussions.
  2. Select one or more discussions, right-click and choose Classify: In the pop-up window, tick the wanted categories.

You can customize existing categories (color, name and abbreviation) and create new ones.
  3. Click on the button Validate: in the list of discussions, find the categories allocated appear in the corresponding column. You can also display the discussions of a single category, by selecting its folder in the pane on the left of the screen.

Archive a discussion

  1. Go to the display Communication > Discussions > Discussions.
  2. Select the discussion, then click on the button Archive.

  3. The archived discussion is stored in the Archives folder, in the panel on the left of the screen.

To keep a discussion from one year to the next, you must archive it before the end of the academic year. Only archived discussions can be re-imported into the new base at the start of the next academic year.

Discard a discussion

  1. Go to the display Communication > Discussions > Discussions.
  2. Select the discussion, then click on the button Move to trash.

  3. The discussion is moved to the folder Trash in the panel on the left of the screen.

By default, trashed discussions are automatically deleted after 45 days. This duration can be modified by the administrator. To expedite the deletion process, select a discussion in the trash, right-click and choose Permanently delete or right-click on the rubric Trash and click on Empty Trash.

Purge a discussion

  1. Go to the display Communication > Discussions > Discussions.
  2. Select the discussion to be purged, right-click and choose Purge the discussion's old messages.
  3. In the pop-up window, select the number of messages you want to keep, then click on Yes.

The command Purge the messages is only activated when at least one discussion has too many messages.
