Election of the parent representatives, step 1: configure the electoral operation
The configuration of the electoral operation is carried out in the Client PRONOTE, then continues on a secure third-party election platform, open in a browser (see step 2). It is on this platform that the members of the polling station monitor the elections and that voters cast their ballot.
1.1. Verification of necessary data
Connection of the guardians to PRONOTE
To access the election platform, officials must connect to PRONOTE. Verify that all the accounts in the Parents Webspace have been activated and/or recently consulted: go to the display Resources > Students > List, then verify the column Guardian's last connection (Conn.Guard.).
Student's date of birth
At the time of placing their ballot in the ballot box, the guardians must enter their child's birthday (security measure). Verify that the birthday dates of the students have been imported into the database.
Telephone number and email of the polling station members
A dual authentication is required for members of the polling station to log in to their account. It is imperative to verify the accuracy of their phone number and e-mail before the start of the election in the corresponding list of resources.
Telephone number and email of the electors
If you also activated dual authentication for voters, verify in the display Resources > Guardians > List that phone number and e-mail have been properly entered. In case of inaccuracy, the voter parents will be able to modify their information directly on the election platform before the start of the election (but they will no longer be able to do so once the election has started).
1.2. Creation of elections
An electoral operation can include several elections (for example, that of the middle school and that of the high school,).
- Go to the display Communication > Parent Elections.
- Click on Create an electoral process, then select Actual election process.
- Enter the title of the process and, if necessary, modify the dates and opening and closing hours of the electoral process, that is to say, the period during which voters will be able to vote.
- If you wish to activate voter dual authentication, tick the corresponding box.
- If necessary, modify the date of publication for voters: it is the date from which voters will be able to verify their contact details and consult the lists as well as the professions of faith.
- Click on Create a new election in the electoral process, enter a designation then click on Validate. If necessary, enter a second election.
- The election (white line) appears on the left of the screen, under the process to which it belongs (pink line); select the election to proceed with its configuration.
1.3. Planning of ceremonies
The key ceremony and the counting ceremony are two essential events that require the physical presence of the polling station members in the same room
- In the rubric Ceremonies, specify the date and time of the key ceremony. The key ceremony must take place before the opening of the electoral process. We recommend organizing it a few days before as a precaution.
- Designate the room where the ceremony will take place.
- Perform the same configuration for the counting ceremony. It usually takes place quickly after the closing of the electoral process.
- Tick the box Add ceremonies in the agenda of the members of the polling station.
1.4. Designation of the polling station members
Appoint the members of the polling station (at least 2 administrators + at least 1 assessor per list) from among the staff, teachers and legal and representative guardians present in PRONOTE.
- In the rubric Polling station members, click on Add a member to the polling station.
- Designate the administrators: select the status Administrator > Staff/Teacher, then tick the staff and/or teachers to be added.
- Designate the assessors: select the status Assessor > Staff/Teacher/Guardian, then tick the staff and/or teachers and/or guardians to be added.
- The column E-mail and Telephone allow you to verify that the coordinates necessary for the proper conduct of the process are correct. Go to the files of the people concerned to update them if necessary.
1.5. Nomination of candidates
You designate the candidates among the legal and representative guardians present in PRONOTE. A statement of faith can be attached to each list.
- Click on New list of candidates, then enter a designation.
- In the pop-up window, click on Add a candidate to the list, then tick the candidates to be added.
- Double-click in the column Incumbent to designate the incumbent candidates - the other candidates will be considered as alternates.
- Double-click in the column P.F. to load the professions of faith (PDF format only).
- Click on Attach the document.
1.6. Designation of voters
You designate the voters among the legal and representative guardians present in PRONOTE.
- Click on Add voters.
- Tick the guardians to be added. You can tick all the guardians by ticking the box at the top of the list.
- The column Secret allows you to verify that the date of birth of the child necessary for the authentication of the voter is entered in PRONOTE. Go to the forms of the concerned students to enter it if necessary.
1.7. Transfer of the electoral process to the election platform
Once the election or elections are configured, you must transfer the electoral process to the election platform to initiate the following phases.
- Select the electoral process (pink line).
- The software tells you if all the necessary data has been entered (green tick): make the necessary changes if applicable (red cross).
- Click on Transfer the process to the platform.
- Once the transfer is completed, phase 2 can begin:
- the members of the polling station can access the platform to activate their account;
- the publication of lists and professions of faith is effective on the date indicated during the configuration of the electoral process.
In case of modification (adding a candidate, update of the profession of faith, etc.), it is necessary to transfer the electoral process to the election platform again.
