  • We haven't chosen PRONOTE in hosted mode. How do we initialize the PRONOTE database with EDT data?

Every year, you need to create a new PRONOTE database and put it into service so that users can connect to it. In non-hosted mode, it's up to you to create this new database.

Once the PRONOTE base has been created, you initialize it with EDT data, enabling the automatic creation of grading services and the optimal operation of the homework notebook and roll call.

You can then complete the base by recovering data from the previous year's PRONOTE base. During the initialization process, any data already present in the database is overwritten. If the new PRONOTE base is not empty, make a copy of the base before launching the initialization.

Step 1: Create a new empty base

  1. In the PRONOTE Server application, click on the button at top right (if the button is grayed, first click on Shut down the activation).
  2. In the pop-up window, leave the default time grid (it will be reinitialized with EDT data), then validate.
  3. Enter a name for your database, then save: the name of the base and the folder in which it is saved appear in a banner at the top of the window.
  4. Click on the button Activate to make the database accessible from a Client.

Step 2: Verify the data in EDT

  1. In EDT, from the course list, launch the command in the menu Extract > Extract the courses that are insufficiently detailed for PRONOTE. If there are still courses in the list, you need to make adjustments:

    • if there are co-teaching courses not indicated as such, select them, right-click and choose Modify > Place in co-teaching;
    • if there are undistributed complex courses, for each one, reopen the precision window Ctrl + R and select a distribution mode.

      All courses in the EDT base are read by PRONOTE. However, if complex courses are not sufficiently specified and co-teaching courses are not declared as such, they will not appear on all timetables, and it will be impossible to take roll calls or complete the homework notebook for these courses. Similarly, if courses in groups contain no students, they will not appear on students' timetables, and it will be impossible to take the roll call for these courses.
  2. Go to the display Timetable > Groups > Students and sort the list in the column No. stud.: if groups have 0 students, add them in the right-hand panel.

    Courses in groups with a variable population (indicated by the icon ) can be filled in by teachers during the year; you don't have to add students before initialization.

Step 3: Carry out the transfer

  1. From EDT, launch the command To PRONOTE > Assisted transfer.
  2. An assistant verifies the EDT data and guides you to the generation of a file NameofTheBaseForPRONOTE.zip.
  3. From a Client PRONOTE, go to the menu File > New base > From EDT and recover the file NameofTheBaseForPRONOTE.zip.
