Distributing information/Conduct a survey

1. Send information
Distributing information via PRONOTE's internal messaging system enables you to reach a wide audience without having to engage in an exchange (no response possible). An acknowledgement of receipt indicates whether the recipient has read the information.
Publish information
- Go to the tab Communication > Information & surveys.
- Click on the button Nouveau, then choose Send information.
- In the pop-up window, select the recipients:
- if the information is linked to classes, stay on the tab Recipients linked to the classes/groups and click on the button
. to indicate the concerned classes or groups. Then tick the type of recipient (Guardians, Students, Teachers, Staff, or Internship counselors). - if the information is not linked to a class or group, go to the tab Recipients on an individual basis, click on the button
and tick the recipients. - if the information concerns people on a previously created mailing list, click on the button
Use the mailing lists located on the left.
- if the information is linked to classes, stay on the tab Recipients linked to the classes/groups and click on the button
- You can use an existing information template by clicking on the button Recover a template.
- Enter the information, give it a title, and format the text. You can also attach a document by clicking on the button
. - Select a category from the drop-down menu.
- If you tick option with acknowledgement of receipt the recipients will be asked to confirm that they have read the information. You will be able to consult the acknowledgments of receipt.
- The box Publish as of (x) until (x) is ticked by default. To define a distribution period, click on the two calendars.
If you un-tick the box Publish as of, the information will not be published, but can be saved as a draft in the next step. - Click on the button Publish located at the bottom right of the window (if you have un-ticked the box Publish as of (x) until (x) in the previous step, click on the button Create the draft).

You can send information from any display by clicking on the button

To obtain the list of acknowledgments of receipt, you must have ticked the option With an acknowledgment of receipt in the creation window for the corresponding information.
- Go to Communication > Information and surveys.
- In the left-hand menu, click on Distributed.
- Select the information from the list.
- n the right side, the reading percentage rate is indicated. To refine the results, click the button View the responses.
- In the pop-up window, acknowledgments are sorted by recipient category. Clicking on a category allows you to see in detail who has acknowledged receipt of the information.
2. Conduct a survey
A survey allows you to ask a question of a group of recipients and analyze their responses (whether open-ended or multiple-choice).
Edit a survey
- Go to Communication > Information and surveys.

Click on the button New, then select
Conduct a survey. -
Start by selecting the recipients.
If the survey is linked to classes or groups, click the button
in the tab Recipients linked to the classes/groups.
Tick the concerned classes, then select the type of recipient (guardians, students, teachers, staff, internship counselors). Only teachers and staff members from the pedagogical teams of the concerned classes or groups are taken into account.
if the survey is not associated with a class or group, go to the tab Recipients on an individual basis and click on the buttons
and directly tick the recipients.
If the survey involves people assembled in a mailing list that was created beforehand, click on the button

If you want to use a template as a starting point for creating your new survey, click on the button Recover a template.

Choose between:
- Nominative survey: in the results, the respondents' answers will appear next to their names.
- Anonymous survey: responses are collected, but the identities of the respondents are not disclosed.

Give your survey a title and select a category.

Enter your Question 1 in the text editor provided for this purpose.

Select the type of the first question and, if applicable, enter the possible answers:
Response to be entered (only if the survey is nominative): The recipient must enter a free-form response. You can limit the number of characters in the response to between 1 and 500.
Unique choice: the recipient can select only one answer from the options provided. By default, the answers Yes and No are provided. You can replace them with other answers by double-clicking directly on them.
Multiple choice: the recipient can select several answers from the suggested responses. You can specify a maximum number of answer choices or none at all by ticking or un-ticking the corresponding box and indicating a number. The arrows on the right allow you to move the answers Up or Down to arrange them in the order you want
NEW: An option "Other" can now be added to the list of multiple-choice answers, allowing the respondent to enter a free-form response. -
To grant access for consultation to a professor or staff member, click the button
located at the bottom of the window, then tick the people you want to add in the list that appears. -
The box Publish as of (x) until (x) is ticked by default. To define a broadcast period, click on the two calendars.
NOTE: If you un-tick this box, the survey will not be published, but it can be saved as a draft in the next step. -
Click on the button Publish located at the bottom right of the window (if you have un- ticked the box Publish as of (x) until (x) in the previous step, click on the button Create the draft).
Consult the results of a survey
Survey results are available in real time.
- Go to Communication > Information and surveys.
- In the left-hand menu, click on Distributed.
- Select the survey in the list.
- In the right-hand part, the survey content appears, and the response percentage rate is indicated. To refine the results, click the button View the responses.
- In the pop-up window, select a question. PRONOTE compiles the responses by recipient type: clicking on a line displays the details, unless the survey is anonymous.
By default, only the person who created the survey can consult the results.
