Create a simple meeting

Creating a meeting allows you to arrange an occasional meeting with a student and/or the student's guardians.
When you send a meeting request to a student, the meeting is automatically added to his/her agenda and to yours. When you send a meeting proposal to a guardian, you must wait for him/her to validate the proposed slot before the meeting appears in your agenda. If none of the slots are suitable, the guardian can send you a telephone number so that you can contact him/her.

For students

  1. Go to the display Communication > Meeting >  Meetings.
  2. In the left-hand column, click on Single meeting > Students, then click on the button New meeting.



  3. In the pop-up window, double-click the field Student, then select the student from the list.



  4. Enter the topic and contents for the meeting.
  5. If necessary, attach a document by clicking on the button .
  6. Specify the duration of the meeting.
  7. Specify the date, time, mode (Face-to-face or by phone) and location of the meeting, then click on the button Validate



  8. The appointment is added to the meeting list, to your agenda and to the student's agenda.


For guardians

  1. Go to the display Communication > Meeting >  Meetings.
  2. In the left-hand column, click on Single meeting > Guardians, then click on the button New meeting.



  3. In the pop-up window, double-click on the field Guardian(s) then tick the guardian in the list; you can also request the student's presence by ticking the corresponding box. 



  4. Enter the topic and contents for the meeting.
  5. If necessary, attach a document by clicking on the button .
  6. Specify the duration of the meeting.
  7. Click on the button   to add one or more slots:
    • to add slots one by one, select New slot then define the date, time, mode (Face-to-face or by phone) and location of the proposed slot.



    • to offer several slots over an entire period (a morning, for example), select Define slots from a time range; the number of slots defined depends on the meeting duration defined in step 6; if you are unavailable for certain slots within this range, you can delete them individually.



  8. In either case, you can always delete a slot by clicking on the button before clicking on the button Validate.
  9. The meeting is added to the meeting list—you must wait for approval from the guardians before the meeting appears in your calendar. Hover your mouse over the column Slots(x) to view the proposed times.

Create a series of meetings

Creating a series of meetings allows you to organize sessions of meetings. You can create all the available time slots for students and/or their guardians at once. If the meeting session is for students only, a time slot is automatically assigned to them: the assigned meeting appears in their agenda as well as yours as soon as the meeting is created. You must wait for confirmation from the guardians for the meeting to appear in your agenda.

For students

  1. Go to the display Communication > Meeting >  Meetings.
  2. In the left-hand column click on Series of meetings > Students, the click on the button New meetings.



  3. In the pop-up window, double-click on the field Students, then tick the students in the list;



  4. Enter the topic and contents for the meeting.
  5. If necessary, attach a document by clicking on the button .
  6. Specify the duration of the meeting.
  7. Click on the button   to add one or more slots:
    • to add slots one by one, select New slot then define the date, time, mode (Face-to-face or by phone) and location of the proposed slot.



    • to offer several slots over an entire period (a morning, for example), select Define slots from a time range; the number of slots defined depends on the meeting duration defined in step 6; if you are unavailable for certain slots within this range, you can delete them individually.



    • Click on the button Validate. You can add as many time slots as you need.

For guardians

  1. Go to the display Communication > Meeting >  Meetings.
  2. In the left-hand column click on Series of meetings > Guardians, the click on the button New meetings.



  3. In the pop-up window, double-click on the field Guardians, then tick the guardians in the list; you may request that the student be present by ticking the corresponding box.



  4. Enter the topic and contents for the meeting.
  5. If necessary, attach a document by clicking on the button .
  6. Specify the duration of the meeting.
  7. Click on the button   to add one or more slots:
    • to add slots one by one, select New slot then define the date, time, mode (Face-to-face or by phone) and location of the proposed slot.

  8. Click on the button Validate.
