2. Import a competence reference frame from a spreadsheet
If you have a spreadsheet containing the competence reference frames, you can import or update this data in PRONOTE Campus with just a few clicks. If the database already contains some data, verify the spelling of the designations to ensure that PRONOTE Campus does not create duplicates.
First step: Prepare the spreadsheet for import
- The spreadsheet must include one line per item or competence in the absence of items, and one column per type of information (field).
- It is not necessary to include a line of labels, but doing so can make it easier to match the fields to PRONOTE Campus during import.
- PRONOTE Campus requires at least these two fields: Code and Designation of the reference frame.
- If there is more than one reference frame in the spreadsheet, you have two options for ensuring the integrity of the references:
- fill in all the lines of the columns Blocks and Competencies of the file;
- or organize the lines to follow the outline of each reference frame by filling in only the first line of each block and each competence.
- The column Category accepts only the values RNCP, RS, and Other, or blank and needs to be filled in for at least one line in the reference frame.
Second step: Import the reference frames into PRONOTE Campus
- Go to the display Competencies > Reference frames >
List of competence reference frames. - In the spreadsheet file, select the data you want to import and then use Ctrl + C to copy them.
- Go to any display in the module Competencies.
- Use Ctrl + V to paste the data: the import window will then open.
- At the top, select the type of data you want to import: Competence reference frames.
- Indicate Tabulation as a field separator.
- Match each column to a PRONOTE Campus field. To do this, click the arrow next to the heading Field ignored and from the drop-down menu, select the field that the column corresponds to.
- if a column should not be imported, leave Field ignored. As long as any required fields are missing, all data will be displayed in red. If some data remains red after the matching process is complete, it means that it does not match the expected format: hover your cursor over it to find out why. In most cases, the data is still imported but modified to be compliant.
- if you have copied the column titles, tick the box Do not import the [1] first lines.
- Click on Import: PRONOTE Campus suggests switching to Exclusive Usage mode (other users switch to Consultation mode during the import process, and you can choose not to keep the imported data once the process is complete).
- PRONOTE Campus displays a report showing the number of records imported, created, or modified.
- Close the window.
- PRONOTE Campus suggests saving the import format; the field-to-column correspondence will be retained for all future imports of this type of data.
- If you were in Exclusive Usage mode, click the button
in the tool bar. - In the pop-up window, choose by saving your modifications..
3. Indicate the classes evaluated for each reference frame
- Go to the display Competencies > Reference frames >

List of competence reference frames. - Select the competence reference frames from the list on the left.
- Right-click and choose Modify > Classes.
- In the pop-up window, tick the classes: they will then be displayed in the column Evaluated classes.
4. Add items to the existing reference frames
- Go to the display Competencies > Reference frames >

List of competence reference frames. - Select the competence reference frames from the list on the left: the list of the competencies is displayed on the right.
- Add:
- significant elements by clicking on the creation line at the top of the list;
- items by clicking the button
that precedes a significant element.
5. Delete a reference frame
- Go to the display Competencies > Reference frames >

List of competence reference frames. - Select the competence reference frame from the list on the left.
- Right-click and choose Delete the selection.
