  • Import a list of subjects from a spreadsheet

If you have a spreadsheet with the list of subjects, you can recover or update the data in PRONOTE Campus in just a few clicks. If the base already contains subjects, check the spelling of the labels so that PRONOTE Campus does not create duplicates.

Step No. 1: Preparing the spreadsheet for import

  1. The spreadsheet must include one row per subject and one column per type of information (field). A sample Excel file is provided with the application.
  2. A label line is not required, but it can make it easier to match fields in PRONOTE Campus during import.
  3. PRONOTE Campus requires at least one field among: Designation or UID-identifier.
  4. If several subjects are to have the same designation, you must add the field Code, which must be different for each subject so that PRONOTE Campus can create all the corresponding subjects.



  1. To import a field not provided for in PRONOTE Campus, you must include a column for this type of information in the spreadsheet and follow the syntax <Type of information>Information so that PRONOTE Campus converts this column into a family during import.



Step No. 2: Import the subjects into PRONOTE Campus

  1. In the spreadsheet file, select the data to import and use Ctrl + Cto copy them.
  2. Go to any display in the module Schedules.
  3. Use Ctrl + V to paste the data, the import window will then open.
  4. Select the type of data to import at the top: Subject.

  5. Specify Tabulation as the field separator.
  6. Match each column with a PRONOTE Campus field. To do this, click on the arrow next to the title Field ignored and from the drop-down menu select the field to which the column corresponds.
    • If a column is not to be imported, leave Field ignored. As long as required fields are missing, all data is displayed in red. If some data remains in red at the end of the mapping, it's because it doesn't match the expected format: hover the cursor over it to find out why. In most cases, the data is imported anyway, but modified to conform.
    • If you've copied column titles, tick Do not import the [1] first lines.
    • If a column contains data not foreseen by PRONOTE Campus, choose the Family option, which allows you to  create fields not foreseen.
    • If imported columns contain multiple data (multiple values for your custom field), verify the sign separating them in the field Separator of multiple resources (by default, the comma).



  1. Click on Import: PRONOTE Campus proposes to switch to Exclusive Usage mode (other users switch to Consultation mode for the duration of the import, and you can choose not to keep the imported data at the end of the process).



  1. PRONOTE Campus displays a report showing the number of data items imported, created or modified



  1. Close the window.
  2. PRONOTE Campus offers to save the import format, so that the mapping of fields to columns is preserved for all future imports of this type of data.
  3. If you were in Exclusive Usage mode, click on the button in the toolbar.
  4. In the pop-up window, choose by saving your modifications.
