Create a document or mail template

A template contains variables that are replaced by the appropriate data during distribution (printing for mail or PDF attachment for e-mail). A template is valid for a certain type of recipient (students, teachers, company contacts, staff) and can be sent from certain displays, determined by its category (assiduity, internship, "miscellaneous", etc.).
1. Customize a default template
The templates are proposed by default. You can modify them directly or duplicate them and modify the duplicated templates.
- Go to the display Communication > Mail and documents >
Templates. - Select a template on the left: its content is displayed on the right.
- Use the formatting options and insert variables if necessary.
2. Create a new template
You can also create new templates from a blank page.
- Go to the display Communication > Mail and documents >
Templates. - Click on the creation line.
- Enter a designation for the template and validate with the key Enter on your keyboard.
- In the pop-up window, choose the type of recipient and indicate the category, that is, the context in which the template will be used.
- Select the template from the list and enter the content in the panel on the right.
A template can only have one category. If you want to create similar templates for several types of recipients, create the first one, format it and then duplicate it.
3. Duplicate a template
- Go to the display Communication > Mail and documents >
Templates. - Select a template from the list.
- Right click and choose Duplicate.
4. Restore a default template
- Go to the tab Communication > Mail >
Templates. - Select a standard letter from the list.
- Right-click and choose Restore the original or click the button Restore the original.
5. Define the header/footer of a letter or document
- Go to the display Communication > Mail and documents >
Templates. - Select the concerned template from the list.
- Position the cursor where you want the header or footer.
- Right click, then choose Headers/Footers > [Name].
- The variables are replaced with the appropriate data. Once the header is integrated into the template, you can select the block and change its location manually.
- You can integrate several headers/footers in the same template.
6. Insert a variable
A variable is a tag that is replaced by the correct information when printing or sending mail/SMS. For example, the variable <FamNameStud.> is replaced by " Dupont " or " Martin " depending on the concerned student.
Pour insérer une variable (signature, adresse, date etc.) dans un modèle de courrier :
- Go to the display Communication > Mail and documents >
Templates,
- Select a template. Position the cursor where you want to insert a variable, click on the button Insert and select the wanted variable.
- The variable is displayed between chevrons. When sending, it will be replaced by the appropriate data.
The available variables depend on the category of the mail/SMS template.
7. Customize variables of the type list
For some categories (Roll call, Assiduity, Internship), you can insert as a variable a list: either a predefined list (with elements selected by default), or a custom list (whose elements and their presentation you define).
- Go to the tab Communication > Mail and documents >
Templates. - Select a mail template.
- In the letter, position the cursor where you want to insert a series of variables, right-click and then select List… > Customized.
- In the editing window, insert the variables in the order you want via the button Insert and validate.
- The variables will be replaced by the appropriate information when sending the letter.
