  • Create a work-study

You have a work-study management module for apprenticeship contracts and professional training contracts. Work-study management is activated by default.

Create a work-study

  1. Go to the display In-company> Work-study programs > List of work-study programs.
  2. Click on the creation line.
  3. In the selection window, select the concerned student and validate.
  4. In the window Definition of a work-study contract, select a type of agreement and specify the beginning and ending dates of the work-study program.
  5. Click and drag on the calendar to define the weeks and days scheduled in the company.
  6. If you want to let the student fill in his/her form (company information, contact information, topic and presence in the company) from his/her Webspace, tick Allow the student to fill in his/her form from the Students Webspace, then indicate the dates for accessing the form. Validate.
  7. In the window Work-study programs, enter the characteristics of the work-study program, including
    • the topic,
    • the type of agreement (modifiable if not filled in at the previous step),
    • dates and periods in the company (modifiable by clicking on the buttons on the right of the corresponding fields),
    • the company,
    • the work-study tutor,
    • the tutoring teacher.
  8. If the student is enrolled in several classes, select the class to be associated with the work-study program in the column Class linked to the work-study.
  9. Tabs allow you to provide additional information such as schedules, pedagogical content, trainee remuneration, pedagogical objectives, etc.
  10. Click on Validate.



You will be able to complete the work-study form later from the display In-company> Work-study programs > Work-study and follow-up form.

2.  Process forms filled out by students

When a work-study program is created, students can fill out the form themselves from their Students Webspace (company information, contact information, topic, and time spent at the company). To do this, when the work-study program is created, the option Allow students to fill in their form from the Students Webspace must be ticked. You must also enter the beginning and ending dates for the form's publication.

Sort the forms by status

  1. Go to the display In-company> Work-study programs > List of work-study programs.
  2. Click above the column Form status to sort the list by this criterion. The form can be:
    • Published,
    • To be validated; the student submitted the form to the secretariat from their Students Webspace.
    • Validated; the secretariat has entered the company information provided by the student.


      If the student failed to submit the form before the end of the publication period, the icon Expired publication appears in the column Form status. It is then possible to expand the publication so that the student can ultimately transmit information about their company.

Validate the form

Prerequisite: to validate the form, the student must have submitted the application to the institution's secretary's office.
  1. Go to the display In-company> Work-study programs > List of work-study programs.
  2. Sort the list by clicking on the title of the column Form status.
  3. Click a second time on the column title to reverse the sort order (the direction of the arrow indicates that the sort is in reverse alphabetical order). The Validated forms appear at the top of the list.
  4. Double-click in the cell.
  5. In the pop-up window, first review the company information, then click on Next Step.
  6. In the pop-up window, review the contact information, and then click on Next step.
  7. In the pop-up window, review the work-study topic and the company's work schedule, then click on Finish and save. The work-study form automatically incorporates the information provided by the student.

3. Edit the training agreement

  1. Go to the display In-company> Work-study programs > List of work-study programs.
  2. Select one or more students.
  3. Click on the button in the toolbar.
  4. In the pop-up window, select the Type of output (Printer, PDF, E-mail).
  5. Select the recipient of the internship agreement from the following:
    • the company official
    • the internship counselor or workplace tutor,
    • the contract manager,
    • another contact at the company (who is not identified as a manager or counselor/tutor).
  6. Tick the template Training agreement.
  7. Click on the button Print/Generate/E-mail.
Once saved as a PDF, the agreement can be attached to the work-study form.

4. Interrupt a work-study

  1. Go to the display In-company> Work-study programs > List of work-study programs.
  2. Select the work-study(ies) you want to interrupt, right-click, and choose Modify > the date of the interruption.
  3. In the pop-up window, tick Interrupted on, modify the date if necessary, and validate: the internship will be displayed with the icon .

5. Sort work-studies by status

  1. Go to the display In-company> Work-study programs > List of work-study programs.
  2. Click above the column Status to sort the list by that criterion. The work-study can be:
    • planned;
    • in progress;
    • completed;
    • interrupted;
    • extend a previous work-study (the work-study is currently underway, but the student is not at the company).

6. Sort work-studies based on the remuneration

  1. Go to the display In-company> Work-study programs > List of work-study programs.
  2. If you don't see the column Monthly remuneration (Mthly. rem.), click on the button in the top right corner of the list to display it
  3. Sort the list by clicking on the column titled Monthly remuneration: the students with the lowest remuneration will appear at the top of the list.
