How to import a list of work-study programs from a spreadsheet

All of this data can be imported from Excel into PRONOTE Campus: work-study programs, porters, calendars, courses, cursus et modules, teachers' discharges, definition of families, teachers, companies, students, training programs, links between Tutorials/options, internship counselors, subjects, customized subjects, parents, progressions, classes, competence reference frames, groupings, rooms, internships, uses, cities.
First step: Prepare the spreadsheet for import
- When you import internship and work-study program, you can create the related data (company, counselors, company tutor) if it does not already exist in the base.
- If the database already contains such data, verify the spelling of last names, designations, etc., beforehand to ensure that PRONOTE Campus does not create duplicate entries.
- The spreadsheet must contain one row per data and one column per type of information (field). An Excel example file is included with the application.
- It is not necessary to include a row of labels, but doing so can make it easier to match the fields to PRONOTE Campus during import.
- PRONOTE Campus requires that at least two fields be imported to identify the student and the company.
Please note that importing certain fields makes secondary fields mandatory—for example, the completion date of the work-study program if you have imported the beginning date. - If certain data may be subject to cases of homonymy, you must ensure that there is a field available to distinguish between them.
- To import a field not specified in PRONOTE Campus, you must include a column for that type of information in the spreadsheet and follow the syntax <Type of information>Information so that PRONOTE Campus transforms this column into family during the import.
Second step: Importing data into PRONOTE Campus
- In the spreadsheet file, select the data you want to import and use Ctrl + C to copy them.
- Go to any display in the tab Schedules.
- Use Ctrl + V to paste the data: the import window will then open.
- At the top, select the type of data you want to import: Work-study programs.
- Specify Tabulation as the field separator.
- Match each column to a PRONOTE Campus field. To do this, click the arrow next to the column titled Field ignored and select the field to which the column corresponds from the drop-down menu.
- If a column should not be imported, leave Field ignored. As long as any required fields are missing, all data will be displayed in red. If some data remains red after the matching process is complete, it means that it does not match the expected format: hover over it to find out why. In most cases, the data is still imported but modified to comply with the requirements.
- If you have copied the column titles, tick Do not import the [1] first lines.
- If a column contains data not planned for by PRONOTE Campus, select the matching Family, which allows you to create the fields that were not planned. If the nomenclature <Family>data is not complied with, PRONOTE Campus will create a family To be renamed.
- Click on Import: PRONOTE Campus suggests switching to Exclusive usage mode (other users will be switched to Consultation mode while the import is in progress, and you can choose not to keep the imported data once the process is complete).
- PRONOTE Campus displays a report showing the number of data items imported, created, or modified.
- Close the window.
- PRONOTE Campus suggests saving the import format; the field-to-column matching will be retained for all future imports of internships or work-study programs.
- If you were in Exclusive usage, Click on the button
in the toolbar. - In the pop-up window, choose by saving your modifications.
