  • Create or import a company

1. Manually enter a company

  1. Go to the display In-company > Companies > List.
  2. Click on the creation line and select Manual entry.
  3. Enter the Corporate name (name of the company) and validate with the key Enter on your keyboard.
  4. Select the newly created company from the list on the left.
  5. Click on the button of the rubric Company on the right to enter the company's contact information. You can also double-click in the wanted columns of the list.

2. Recover the company's data using the SIRET number

  1. Go to display In-company > Companies > List.
  2. Click on the creation line and select Data recovery by SIRET No. (data.gouv).
  3. In the pop-up window, enter the company's SIRET number, then click on Search.
  4. The company data will appear. Click on Validate so that they are taken into account.
  5. Select the newly created company from the list on the left.
  6. Click on the button of the rubric Company on the right to complete the company's information if needed. You can also double-click in the wanted columns of the list.

3. Import companies from a spreadsheet

If you have a spreadsheet with the list of companies and their contact details, the person in charge of the company, etc., you can recover or update this information in PRONOTE Campus in a few clicks. If the database already contains data, check the spelling of family names, labels, etc., so that PRONOTE Campus does not create duplicates: if the company already exists and has a company manager, this will be replaced during the import by the manager listed in the spreadsheet.

First step: Preparing the spreadsheet for import

  1. The spreadsheet must include one row per company and one column per type of information (field). An Excel example file is provided with the application in the folder
  2. It is not necessary to have a line of labels, but it can facilitate the matching with the PRONOTE Campus fields during the import.
  3. PRONOTE Campus requires at least one field: Corporate Name and UID-identifier.
  4. If the champ Company No. (SIRET) is filled in, it will be possible to update the company's file from the INSEE database.
  5. To import a field not foreseen in PRONOTE Campus, a column for this type of information must be provided in the spreadsheet and the following syntax must be complied with <Type of information>Information pour so that PRONOTE Campus transforms this column into a family during the import.
    If the company has several contacts, they must be imported independently, following the procedure for importing company contacts.

    Second step: Importing companies into PRONOTE Campus

    1. In the spreadsheet file, select the data to be imported and press Ctrl + C to copy them.
    2. Go to any display on the tab In-company.
    3. Press Ctrl + V to paste the data: the import window opens. 
    4. Select the type of data to be imported: Companies.




    1. Indicate Tabulation as the field separator.
    2. Match each column to a PRONOTE Campus field. To do this, click on the arrow next to the designation Field ignored and select the field to which the column corresponds from the drop-down menu.
      • If a column is not to be imported, leave Field ignored. As long as required fields are missing, all data is displayed in red. If some data remains in red at the end of the matching process, it's because it doesn't match the expected format: hover the cursor over it to find out why. Most of the time, the data is still imported, but modified to conform.
      • If you have copied the column titles, tick Do not import the [1] first lines.
      • If a column contains data not foreseen by PRONOTE Campus, choose the correspondence Family which allows you to create fields not foreseen. If the nomenclature <Family>data is not respected, PRONOTE Campus will create a family To be renamed.



    3. Click on Import: PRONOTE Campus allows you to switch to Exclusive Usage mode (other users switch to Consultation mode for the duration of the import, and you can choose not to keep the imported data at the end of the process).



    4. PRONOTE Campus displays a report showing the number of data items imported, created or modified.



    5. Close the window.
    6. PRONOTE Campus offers to save the import format, so that the matching of fields to columns is preserved for all future imports of internships or work-study programs.
    7. If you were in Exclusive Usage mode, click on the button in the toolbar.
    8. In the pop-up window, choose by saving your modifications.

    4. Enter company contacts

    You can enter several contacts for the same company.

    1. Go to the display In-company > Companies> List.
    2. Select the company, then click on the button of the rubric Contacts on the right.
    3. In the pop-up window, enter the contact's information (at a minimum, enter their name). Additional information (date of birth, place of birth, and fiscal code) can be recovered from your mail, agreements, etc., during the processing of mass mailing.



    4. If applicable, indicate whether this is the Company official (only one per company), Internship counselor, Mentor/ Tutor
    5. or Contract manager.
    6. Validate: the contact is added to the drop-down menu, and their contact information can be edited at any time using the button .
