  • Import a list of students from a spreadsheet

If you have a spreadsheet with the list of students, you can recover or update this data in PRONOTE Campus in a few clicks. If the database already contains some data, verify the spelling of the designations so that PRONOTE Campus does not create duplicates.

First step: Preparing the spreadsheet

  1. The spreadsheet should include one row per room and one column per type of information (field). An example Excel file is provided with the application in the folder.
  2. It is not necessary to have a line of labels, but it can facilitate the matching with the PRONOTE Campus fields during the import.
  3. PRONOTE Campus requires at least one field: Name or UID-identifier, CAS identifier and Student number (INE).
  4. If several students have the same surname, you must add the field First name or Date of birth to ensure that PRONOTE Campus creates all corresponding students.
  1. You can import the student's parents into the same file: you add the columns NameParent1FirstnameParent1AddressParent1NameParent2, FirstnameParent2AddressParent2, etc. If the parents are pre-existing or if you import several of their children at the same time, verify the spelling of the surnames, first names and addresses, so that PRONOTE Campus does not create duplicates.

  1. The class and all the groups to which the student is assigned are entered in the same column separated by a comma; so that PRONOTE Campus knows that it is a group, the group must be written in the following way: <NAME OF THE CLASS><NAME OF THE PARTITION>NAME OF THE GROUP.


  1. To import a field not provided for in PRONOTE Campus, a column for this type of information must be included in the spreadsheet and respect the syntax <Type of information>Information so that PRONOTE Campus transforms this column into a family during the import.

Second step: Importing students into PRONOTE Campus

  1. In the spreadsheet file, select the data to be imported and use Ctrl + C to copy them.
  2. Go to any display of the module Schedules.
  3. Use Ctrl + V to paste data: the import window opens.
  4.  At the top, select the type of data to be imported: Students.



  5. Specify Tabulation as the field separator.
  6. Match each column with a PRONOTE Campus field. To do this, click on the arrow next to the designation Field ignored and select the field to which the column corresponds from the drop-down menu.
      • If a column should not be imported, leave Field ignored. As long as any required fields are missing, all data will be displayed in red. If some data remains in red at the end of the matching, it means that it does not correspond to the expected format: pass the cursor over it to find out why. Most of the time, the data is still imported but modified to be compliant.
      • If you have copied the column headings, tick Do not import the [1] first lines.
      • If imported columns contain more than one piece of data (several values for your customized field),
      • verify the sign that separates them in the field Separator of multiple resources (by default, the comma).
      • If a column contains data not foreseen by PRONOTE Campus, choose Family which allows you to create unforeseen fields
      • Caution the information regarding the affiliation of Classes, tutorials, or options. Choose whether PRONOTE Campus should add this information to the existing data or replace it. If you are not importing assignment data, the box Add imported assignments to existing assignments must be ticked.


  1. Click on Import: PRONOTE Campus proposes to transfer to Exclusive Usage mode (the other users are transferred to Consultation mode during the import and you can choose not to keep the imported data at the end of the process).


  1. PRONOTE Campus displays a report with the number of imported, created or modified data.


  1. Close the window.
  2. PRONOTE Campus proposes to save the import format, the matching of the fields with the columns will be kept for all future imports of this type of data.
  3. If you were in Exclusive Usage mode, click on the button in the toolbar.
  4. In the pop-up window, choose by saving your modifications.
