Pre-incoming year: what do I need to know before using this module?
Creation of the base
The operations carried out in the module Pre-incoming year must be performed on a new base (the one that will become your N base at the start of the new academic year).
The creation of a database for the module Pre-incoming year can be carried out in several ways. Ideally, it is done after the STSweb changeover, by recovering the data for the year in preparation.
If you want to start working in the module Pre-incoming year and if the changeover has not yet taken place, you can also use STSweb data from the current year – keep in mind, however, that the resources recovered in this way will not necessarily correspond to the resources for the coming year
In all cases, we strongly recommend that you verify (and rectify if necessary) the data in STSweb - before creating the database, and then during the year, before each update in EDT.
Update the data
When you enter data in one of these tabs, it is automatically transferred to the next tab, from left to right.
Reported data, on the other hand, can be modified on a case-by-case basis, without modifying the data entered at the root.
This way, you can spread your workload over several months, so there's no need to wait for precise information before you start to enter your needs.
Specifying the maximum number of students expected per structure (class or group) and the provisional number of students also has an impact on the number of hours of service required. This information can be entered progressively, like the other data: provisional population by ETM (MEF) and subject, then provisional population per class and service.
Calculate provisional needs by subject and construction of the DTMD (TRMD)

Finally, the provisional needs are transferred to the DTMD (TRMD). Enter your global hourly allocation (DHG) in the software: the difference between your means and your needs is calculated automatically.
Distribution of students in the classes
At the end of the year, you can continue the work you've done in preparing the DTMD (TRMD) by assigning students to their provisional classes.
Before you start the distribution, verify that the classes entered in the display Pre-incoming year > Provisional classes > Services are up to date. If you have calculated your provisional needs on the basis of ETM (MEF) without specifying the classes, you can take up this step where you left off.
The distribution is carried out automatically by the software, but you retain control over all the parameters it needs to take into account: pedagogical information, student groupings or separations, accompaniment projects, class characteristics, etc. Do not launch a distribution for all students in the institution at once: instead, proceed level by level, and wait until you have completed the distribution for all levels before transferring the list to the module Timetable.
Automatic course generation
To generate courses automatically, you first need to specify the wanted service breakdown. Then you verify and/or modify the alignments already planned when calculating the provisional needs.
Before clicking on the button Create the courses, you can also assign teachers to the service, either manually or automatically. If you create courses without assigning teachers at this stage, they will have to be assigned
directly from the course file in the display Timetable > Course >
