  • Organizing a long-term replacement

You may be tempted to replace the absent teacher with the multi-selection substitute from the course form, in the tab Timetable, but this method has the disadvantage of not allowing a differentiated follow-up: if the replacement occurs during the course of a semester, for example, it will no longer be possible to distinguish between the grades given by one teacher or the other.

The recommended method for managing a long-term replacement is to enter the absence of the initial teacher, then use the option Long-term substitutions: In this way, the substitute can have access to textbooks, grade papers, take roll calls, be easily added to class committees or parent-teacher meetings, and you keep a record of teachers' actions.

  1. Make sure the substitute exists in the list of teachers and, if necessary, create one.
  2. Go to the display Daily management and absences > Teachers > Entry of absences and replacements.
  3. Select the teacher to be replaced from the list on the left, and the concerned absence from the list at the bottom.
  4. Then select the option Long-term-substitutions in the top right-hand corner. By default, a replacement is considered long if it lasts at least 15 days; you can modify this duration by clicking on the button next to it.


  5. In the absence line at the bottom, double-click in the column Replaced by.
  6. In the pop-up window, click on the button to select the replacement, then, if necessary, specify the services to be replaced, the time slots and days concerned by the replacement, then validate.



    If several substitutes share the courses, repeat the operation (from step 5) as many times as necessary.
