Organize the data by family

Families allow the creation of fields that were not planned in PRONOTE Campus. They make it easier to manage data by allowing you to associate it with the criteria of your choice. For example, you can create a family that allows sorting your rooms according to their accessibility:
1. Create a family and its rubrics
- Go to the menu Parameters > Other data > Families.
- Click on New family, enter the designation ACCESSIBILITY and validate with the key Enter on your keyboard.
- In the pop-up window, select:
- the mode Predefined rubrics: you define a limited number of categories in advance and then associate them with your data in the lists. You can then use the categories to organize your data using the extract and sort functions. For example, the ACCESSIBILITY category could include the categories AD, NOT ACCESSIBLE, and PMR;
- the mode Available rubrics: no rubrics are predefined, and you can enter free-form text for each data entry. For example, the "Folder No." field allows you to enter a unique number for each student.
- If you choose the mode Predefined rubrics, select the created family and click on New rubric to add the different possible values. These rubrics correspond to the options that can be allocated to the concerned resources.
For example a non-accessible room or PMR (people with reduced mobility). - Double-click in the column Used for. In the pop-up window, tick the data to which this new field can be applied.
- Double-click in the column Visibility. In the pop-up window, select:
- Unobstructed visibility: the users are free to show or hide the data of their choice;
- Proposed visibility: designated users will be able to apply your filter from the menu My preferrences > Display> General.
- Imposed visibility: only designated users will be able to display data relating to themselves in the lists.
- In the case of Imposed visibility,a field Authorized users appears to the right of each rubric: double-click in it and select the users or user profiles (to tick all users in the profile) who can access the data categorized under this rubric.
Note
If you limit access to data, the user will not see the cocncerned data in their lists. They may see it in the timetables if they have access to the other data. It is a good idea to limit access to data if the base contains data from multiple sectors or schools, and if users are responsible for only certain classes or rooms. - Validate.
2. Connect the data to the rubrics
- Go to the list of the concerned resources (teachers, rooms, etc.)
- Click on the button
at the top right of the list. - In the customization window, select the corresponding line and drag it to the right among the displayed columns.
- From the list, select the resources to be associated to the same section. Then, right-click Modify > Families > All families with predefined rubrics.
- In the pop-up window, tick the rubric(s) and validate.
You can merge families in case of duplication.
