1. Define the grading services

In order for a teacher to grade students in their subject, a grading service must be created. Grading services are grouped into modules and can be divided into sub-services.

First step: Create the services

  1. Go to the display Grading > Grading services > Display the grading services (per class).
  2. Select a class from the list on the left.
  3.  Click on the line Create the modules and grading services.



  4. In the pop-up window, select:
    • Create the modules and services defined in "modules and curriculum" if you have created curricula and want to recover the corresponding modules and subjects;
    • Create the modules and allocate its subjects if you have not created a curriculum but wish to organize your subjects by module;
    • Create a module per selected subject: if you do not organize the subjects by module.


  1. If the courses of the class are already created, tick Only subjects that are taught without grading services to reduce the list and facilitate handling.
  2. If you have not recovered the curriculum modules, use the creation line New module to create them.


  1. Then select the subjects in the list on the left and click on the button to move them to the modules.


  1. To organize the services by module, click and drag them under the modules.


  1. Click on Next.
  2. In the next window, indicate whether you want to create grading services or sub-services for Groups/Options as well as for courses with several teachers.


  1. Validate. PRONOTE Campus displays for each module its services and sub-services.



Once created, the grading services and modules can be reorganized:
  • right-click on a module and choose Create a service in the grading module to add a service;
  • right-click on a service and choose the appropriate command to delete it or modify the module, etc.

Second step: Create sub-services

Sub-services allow two averages (and two appraisals) to be shown on the report card for the same subject: for example, one essay average, one oral average, or one teacher's average, a second teacher's average.
  1. Select the concerned services, right-click and choose Create a sub-service.
  2. By default, the sub-services have the same characteristics as their service: subject, teacher, etc.



  1. To customize the subject, select the concerned sub-services, right-click, choose the command Modify the services > Subject and select the new subject in the list: if it does not exist, use the creation line New.


  1. To change the teacher, select the concerned sub-services, right-click, choose the command Modify the services > Teacher and select the teacher from the list (he/she must have been previously created in the database).

If authorized, teachers can create their own grading sub-services.

Third step: Configure modules and services

The following procedures are valid for modifying several modules or services in the same way. To act on the services of several classes simultaneously, select the classes in the list on the left and then select the modules or services in the right panel. You can always change individual modules or services by double-clicking in the table.
Grading period: by default, a grading service is valid for all periods. If this is not what you want, select the concerned services, right-click, choose the command Modify the services > Grading periods and un-tick some periods.




Evaluation mode: by default, a grading service has only the mode Continuous assessment. You can allocate several, for example Continuous assessment and Midterm exam: this will allow two averages to be shown on the report card. To do this, select the concerned services, right-click, choose the command Modify the services > Evaluation modes and tick the modes to be activated. You can also define different coefficients. If the name and color of a mode does not suit you, you can change them by clicking on the button .



Optional: if you render a service optional, it counts as a bonus in the module average/overall average, meaning that only the points above 10 are taken into account. To do this, select the concerned services, right-click, choose the command Modify the services > Render optional.

Scale: a service can be graded according to a scale different from the default scale. To do so, select the concerned services, right-click, choose the command Modify the services > Scale and enter the new scale. For each test, a teacher can customize the grade and decide whether or not to mark the grades out of 20 when calculating the average.



Coefficient: a service can have a higher coefficient in the calculation of the module. To do this, select the concerned services, right-click, choose the command Modify the services > Coefficient and enter the coefficient. A coefficient can also be applied to the module.



Threshold grade: the threshold grade of a service is the minimum grade to validate a module and obtain ECTS credits.  To define the threshold grade for the services, select the concerned services, right-click, choose the command Modify the services > Threshold grade and enter the grade. Depending on the configuration, all grades below the threshold grade may be displayed in red.



Eliminatory grade: the eliminatory grade of a service is the grade below which a module cannot be validated or ECTS credits cannot be obtained. To define the eliminatory grade of the services, select the concerned services, right-click, choose the command Modify the services > Threshold grade and enter the grade.



No. ECTS: the attribution of ECTS points can be conducted by module or by service. If the attribution is conducted by module, select the concerned modules, make a right-click, choose the command Modify the grading modules > Number of points and enter the number of points. If the attribution is conducted by service, select the concerned services, right-click, choose the command Modify the services > Number of points and enter the number of points.

2. Manage several evaluation modes

PRONOTE Campus offers 4 modes of evaluation: Continuous assessment, Midterm exam, Project and Internship, which  can be renamed. If a grading service has several evaluation modes, the average of the service is the average of the evaluation modes and it is possible to  display several averages on the report card.

Define the evaluation modes of a service 

By default, a grading service has only the mode Continuous assessment. You can attribute several, for example Continuous assessment and Midterm exam. The sub-services have the same evaluation mode as the service to which they are affiliated.

  1. Go to the display Grading > Grading services > Grading services (per class).
  2. Double-click in the column Modes.
  3. In the pop-up window, tick the possible evaluation modes for this service.
  4. Select in the drop-down menu the default evaluation mode and validate.

The evaluation mode can be modified in multi-selection for all services.

Define different coefficients for different evaluation modes

If you are using several evaluation modes, the calculation of the average will now be based on the average of the evaluation modes and no longer on the average of the tests, so it may be important to allocate a coefficient to each evaluation mode.

  1. Go to the display Grading > Grading services > Grading services (per class).
  2. Double-click in the column Modes.
  3. In the pop-up window, modify the values of the column Coeff.

3. Configure the average calculation of the services/sub-services

The calculation of sub-service/service averages takes into account the coefficients assigned to the tests, the evaluation modes if you use more than one, the sub-services and the periods for the calculation of the annual average.
  1. Go to the display Grading > Grading services > Grading services (per class).
  2. Select classes from the list on the left.
  3. The configuration is conducted period by period: select a period in the drop-down menu at the top right.
  4. Select the services on the right.
  5. Set the average in the tab Average calculations, at the bottom of the screen. In particular, you can:
    • indicate whether the average should be the Sub-services' average or the Tests' average for services with sub-services;
    • select the rounding off mode you want;
    • add a bonus/penalty column;
    • weight the highest/lowest grade.

You can entrust the teacher with the configuration of the service average: to do this, the authorization Modify the average's calculation parameters must be ticked in his/her authorization profile.



4. Configure the calculation of the annual overall average

  1. Go to the display Grading > Grading services > Grading services (per class).
  2. Select classes from the list on the left.
  3. In the drop-down menu at the top right, select the class calendar (Semestrial, Trimestral).
  4. Do not select any service (if a service is already selected, press Ctrl + click to unselect it).
  5. In the tab Average calculations, at the bottom of the screen:
    • indicate whether the annual average should be the Average of the modules/annual services or the Average of the periods;
    • if necessary, allocate coefficients to the periods; these coefficients are also valid for the annual average of the services.

5. Configure the calculation of the overall average for the period

The calculation of the overall average takes into account any coefficients that have been assigned to services/modules and periods for the calculation of the annual average.
  1. Go to the display Grading > Grading services > Grading services (per class).
  2. Select classes from the list on the left.
  3. The configuration is conducted period by period: select a period in the drop-down menu at the top right.
  4. Do not select any service (if a service is already selected, press Ctrl + click to un-select it).
  5. Configure the average in the tab Average calculations, at the bottom of the screen. In particular, you can:
    • indicate whether the average should be the Average of the grading modules or the Averages of the grading services (is valid for all periods) 
    • select the rounding off mode you want (only applies to the selected period).



6. Validate the awarding of ECTS

The procurement of ECTS (European Credits Transfer System) is determined by module, or by service/sub-service. It can be conditioned by threshold grades, eliminatory grades or by the overall average or by the validation of modules. 

First step: Define the number of points

The ECTS points correspond to the module or the services/sub-services.
  1. Go to the display Grading > Grading services > Grading services (per class).
  2. Double-click in the column No. ECTS at the wanted level (module, service or sub-service) to assign ECTS points.
  3. The total number of ECTS is calculated automatically and transferred to the higher level (service or module), indicated by the icon.



    You can select the modules or services/sub-services that correspond to the same number of ECTS points, then right-click, choose Modify... > Number and points, and enter the number of points.

Second step: Choose the procurement mode

Possibility No. 1: Allocate the points as soon as the modules are validated

To do this, you must tick the option Take into account the mentions to validate the ECTS during the customization of the validated/non-validated mentions from the list of classes.

 

Possibility No. 2: Allocate the points according to the overall average

This option allows the allocation of all ECTS, regardless of the averages for the modules/courses, if the student achieves a sufficient overall average.

  1. Go to the display Grading > Grading services > Grading services (per class).
  2. Select the concerned classes from the list on the left.
  3. In the right panel, click on the button of the column No. ECTS.
  4. In the pop-up window, tick Authorize the catch-up via the overall average and enter in the cell Attribution threshold the overall average required to obtain all the ECTS.

Possibility No. 3: Change the threshold grade for awarding ECTS

Threshold grades for obtaining ECTS are also valid for validating modules. Don't forget it if you want to modify them.

If you have chosen to assign ECTS by module, threshold grades are entered on a class-by-class basis. If you have chosen to assign ECTS credits by service, you can select several classes and, if necessary, sort the list of services by subject to more easily assign the same threshold grades simultaneously to the services for the same subject:

    1. Go to the display Grading > Grading services > Grading services (per class).
    2. In the right panel, select the modules or services that correspond to the same threshold grade and then right click, choose the command Modify... > Threshold grade and enter the minimum grade above which ECTS credits are automatically awarded to the student.




      You can set a default threshold grade in the menu Parameters > Other modules > Grading.

    Possibility No. 4: Do not award points based on eliminatory grades

    If you have chosen to assign ECTS by module, you can enter eliminatory grades for the services:

    1. Go to the display Grading > Grading services > Grading services (per class).
    2. Select the services with the same elimination grade, then right-click and choose the command Modify... > Eliminatory grade and enter the grade.
    3. In this case, if the average grade for a service is below the eliminatory grade, the ECTS credits are not awarded, regardless of the module's average.

    Third step: Edit a document with ECTS

    Possibility No. 1: Display the ECTS on the report card

    To display the ECTS on the report cards, you must tick the corresponding option in the report card mock-up.



    Depending on what has been configured (see above), the points obtained are displayed in the dedicated column:

    Possibility No. 2: Edit an ECTS statement

    To edit a document with the ECTS obtained over the year (and not only over the period), you must use a summary mock-up.
    1. Go to the display Grading > Summary > Summary mock-ups
    2. Select the mock-up Standard from the list on the left or create a new one using the creation line. You can create as many as you need.
    3. In the Body of the report card, tick ECTS and Total number ECTS and un-tick Student's average and Overall average.

    Depending on what has been configured (see above), the points obtained are displayed in the dedicated column.
