Collect documents from legal guardians
Step 1: Create a new document request
- Go to the display Communication > Digital locker >
Documents in the digital locker.
- Click on the folder Documents to be collected.
- Click on Create a new document, enter the designation of the document to be collected, then press the key Enter on your keyboard: a window Selection of classes appears.
- Tick the classes concerned by the document, then click on Validate.
- Select a deposit method in the pop-up window, then click on Validate.
By selecting No deposit possible by parents, you save a "draft" request: your configuration is saved, but for the time being, the request is not published on the Parents Webspace. To activate it when you want, double-click in the column To be collected on the Parents Webspace and change the method of deposit. As long as the request has not been published, you cannot send a notification. - Tick the names of teachers and staff who can access the document, then click on Validate.
Step 2: Send a notification to the guardians
When the period for receiving documents is open, you can inform the guardians by sending a notification on the Parents Webspaces and the mobile application.
- Click on the button
of the column Notify...
- In the pop-up window, you can change the title and content of the notification.
- Double-click in the column Notify: a window appears.
- In this window, tick the box Notify the parents of the request for the deposit on (...); if necessary, change the sending date (the default is today's date), then click on Save.
If you have defined a deadline for the deposit, you can also define a reminder notification a few days before the deadline.
Step 3: Consult documents sent by the guardians
- Go to the display Communication > Digital locker >
Documents in the digital locker.
- Click on the folder Documents to be collected.
- Select the request for a document from the list on the left: the list of transmitted documents appears on the right of the screen.
- To view a filed document, click on its title in the column Document submitted: the document opens in the corresponding application (for example, in Word for a .docx file).
You can also download all the documents at once: click on the button Download all the documents, at the top left of the list, then save the .zip file on your computer.
