  • Electronic signature – Step 5: Track signatures and finalize the process by the Principal

From the Client, the Principal monitors the progress of signatures. When the Principal or their representative confirms that all other parties have signed the document, they can then finalize the process as the last signatory. This signature definitively closes the process: no further signatures are possible. Finalization is only permitted once all mandatory signatories have signed.

Track the status of signatures

  1. Once the document has been sent to the signatories, go to the display Communication > Mail and documents > History of dispatches.

    A dedicated tracking display for internship agreements is also available: Internships > Trainees > Follow-up of electronic signatures on internship agreements.
  2. In the menu on the left, select Electronic signature.
  3. On the right, click on the button Document status (x) and tick the statuses of the documents to be displayed.
  4. On the list of sent documents, a green tick mark appears when the person has signed the document. The symbol means that the document has not yet been signed.
  5. Until all mandatory signatories have signed, the column Until all mandatory signatories have signed, the column Document status indicates Pending signature.



    If you feel that the signatories are taking too long to sign the document, select the concerned documents and click on the button Remind the signatories to invite them to sign (By SMS or By E-mail).
  6. If the document does not have any optional signatories, it moves directly to the To be finalized status as soon as all signatories have signed. If the document has mandatory and optional signatories, it moves to the status:

    • Finalizable when all mandatory signatories have signed;
    • To be finalized when all mandatory and optional signatories have signed.

  7. If no institution roles have been added to the document, the document will be automatically finalized and archived once all signatories have signed. The user with the appropriate right will have the option to force the finalization of such a document if they choose not to wait for optional signatures.

Finalize the document

  1. From the Client, go to the display Communication >Mail and documents > History of dispatches. 
  2. In the menu on the left, select Electronic signature.
  3. Select the document(s) that are ready.
  4. Click on the button Finalize the documents. If the signature of the Principal is required, they are redirected to the signature platform.



    If optional signatures are missing, a confirmation message is displayed.


Sign the document

  1. From your browser, in the tab that appears, click on the button Begin.
  2. Tick the document(s) to be signed, then click on the button Sign (X).



    The Principal does not need to sign each document separately. He/she can sign them all at once, which saves a considerable amount of time.
  3. In the window Summary, tick I have read the document(s) and accept the terms and conditions without reservation., then click on the button Continue.

  1. Sign the document. There are three ways to do this:
    • from the tab Drawing, click the button Import an image, then select the image of your signature image in *.png or *.jpeg format.
    • from the tab Drawing, sign using your mouse. You can save this signature by clicking Save as default signature.



      In both cases, if you are not satisfied with the result, you can delete the imported or drawn signature by clicking on the button .
    • from the tab Text, enter your first and last name.



  2. Click on the button Sign which then becomes accessible.
  3. A window will appear indicating that the transaction has been processed successfully. Click on Exit.



  4. A window will confirm that the process is complete.

  5. On the tracking displays, as soon as the Principal has signed, their first and last names are indicated in the corresponding column, and the Document status column then displays the mention Archived.
