Import curricula and modules from a spreadsheet
All these data can be imported from Excel into HYPERPLANNING: work-studies, porters, calendars, courses, curricula and modules, discharges, definition of families, teachers, companies, students, trainings, links between tutorials/options, internship counselors, subjects, customized subjects, parents, progressions, classes, competence reference frames, groupings, salles, internships, users, cities.
First step: Preparing the spreadsheet for import
- By importing certain data, you create other data if it doesn't already exist in the database - such as subjects when importing curricula and modules.
- If the database already contains data, check the spelling of surnames, designations, etc., so that HYPERPLANNING does not create duplicates.
- The spreadsheet must include one row for each piece of data and one column for each type of information (field). An example Excel file is supplied with the application in C:\Program Files\Index Education\Hyperplanning 2024\Réseau\Client\Exemples\Fichiers Import\
- It's not necessary to have a label line, but this may make it easier to match the HYPERPLANNING fields when importing.
- HYPERPLANNING requires at least one of two fields: Cursus - Name or Module - Name.
- If some data may be affected by homonyms, make sure there is a field to distinguish them, the field will fulfil this function in most cases (same name for 10th and 11th grade courses, distinguished by code).
- To import a hourly volume for a type of course not yet included in HYPERPLANNING, it must be created beforehand.
- To import a field not provided for in HYPERPLANNING, a column must be set aside in the spreadsheet for this type of information, using the following syntax <Type of information>Information so that HYPERPLANNING transforms this column into a family during import.
- Hourly volumes must be entered in a format compatible with the base configuration:
- In number of sequences, caution, if the time grid has been configured for anything other than one-hour sequences.
- In hundredths of an hour.
Second step: Importing data into HYPERPLANNING
- In the spreadsheet file, select the data to be imported and press Ctrl + C for copying.
- Go to any display in the tab Schedules.
- Press Ctrl + V to paste the data: the import window opens.
- At the top, select the type of data to import: Curricula and modules.
- Indicate Tabulation as field separator.
- Match each column with a HYPERPLANNING field. To do this, click on the arrow next to the Field ignored label and select the field to which the column corresponds from the drop-down menu.
- If a column should not be imported, leave Field ignored. As long as required fields are missing, all data is displayed in red. If some data remains in red at the end of the matching process, it's because it doesn't match the expected format: hover the cursor over it to find out why. Most of the time, the data is still imported, but modified to conform.
- If you have copied the column titles, tick Do not import the [1] first lines.
- If imported columns contain multiple data (for example, courses containing several teachers, teachers with several subjects, etc.), verify the sign separating them in the field Separator of multiple resources (by default, the comma).
- If a column contains data not foreseen by HYPERPLANNING, choose the Family correspondence, which allows you to create fields not foreseen.
- The bottom right-hand corner of the window lets you choose the format for hourly volumes.
- Click on Import: HYPERPLANNING proposes to switch to Exclusive Use mode (other users switch to Consultation mode during import, and you can choose not to keep the imported data at the end of the process).
- HYPERPLANNING displays a report showing the number of data items imported, created or modified.
- Close the window
- HYPERPLANNING offers to save the import format, so that the mapping of fields to spreadsheet columns is preserved for all future imports of this type of data.
- If you were in Exclusive Use mode, click on the button
in the toolbar.
- In the pop-up window, choose by saving your modifications.
