  • Limit the access to data

If you restrict access to data, the user will not see the concerned data in his lists. He may see them in the timetables if he/she has access to the other data. It is interesting to limit the access to the data if the database gathers data from several sectors/schools, and if the users are in charge of only some classes/rooms.

Limit access by rubrics

To restrict access to data, classify the data by rubrics and indicate which users are authorized to view the data in a rubric.
  1. From a Client , go to the menu Parameters > Other data > Families.
  2. Click on New family, enter a designation and validate with the key Enter.

  1. In the pop-up window, select Predefined rubrics or Free rubrics.
  2. Double-click in the column Used for and tick in the pop-up window the data that can be sorted with this criterion.
  3. If you have previously selected Predefined rubrics, click on New rubric to enter the possible values, confirming each time with the key Enter.
  4. Double-click in the column Visibility.
  5. In the pop-up window, select Imposed visibility and validate.
  6. To the right of each rubric is displayed a field Authorized users: double-click on it and tick the users or the utilization profiles (to tick all the users of the profile) that can access the data classified in this rubric.


If you only want users to be able to easily filter data according to rubrics, select Proposed visibility.

Classify the data by rubrics

Once the family and the rubrics have been created, you must indicate for all data its rubric(s). A column per family is displayed in the relevant lists.
Either you act directly in the data lists or you import the data with their rubric.
