Collect documents from students and teachers
You can ask students (this can include parents) or teachers to deposit documents (CVEC certificate, identity card, registration form, insurance certificate, etc.) via their HYPERPLANNING Webspaces.
Step No. 1: Create a new document request
- Go to the display Communication > Digital locker >
Documents in the digital locker.
- In the left-hand menu in the rubric Collection, click on Students or Teachers.
- On the right, click on New, enter the title of the document to be collected, then validate with the key Enter on your keyboard.
- Double-click in the column Concerned students/ Concerned teachers to designate them (all, either by name or by criterion/criteria).
- Double-click in the column Publication period or Collection Webspace(s) to specify the deposit procedure (with or without deadline, for example) and indicate the Webspaces on which to activate collection, then click on Validate.
Step No. 2: Send a notification to students and parents
When the period for receiving documents is open, you can inform students and teachers by sending a notification on their Webspaces and their mobile application.
- Click on the button
of the column Notify.
- In the pop-up window, modify the title and content of the notification, if necessary, then click on Save.
- Double-click in the column Notify.
- In the pop-up window, tick the box Notify the recipients of the deposit request on (...), if necessary, change the notification date for students/parents (the default is today's date), then click on Save.
If you have set a deadline, you can also set up a reminder notification a few days before the deadline.
Step No. 3: Consult documents forwarded by students/parents and teachers
Go to the display Communication > Digital locker >
Documents in the digital locker.
- In the left-hand menu in the rubric Collection, click on Students or Teachers.
- Select the document to be collected: the list of transmitted documents appears on the right-hand side of the screen.
- Right-click, then choose one of the following options:
- Consult the selected document: the document opens in the corresponding application (for example, in Word for a .docx file);
- Recover the selected document: you can save the document on your disk;
- Delete the selected document.
You can also download all the documents at once: click on the button Download all the documents, at the top left of the list, then save the .zip file on your computer.
