  • Import the list of internships or work-study programs from a spreadsheet

All this data can be imported from Excel into HYPERPLANNING: work-study programs, porters, calendars, course, curricula and modules, teacher discharges, definition of families, teachers, companies, students, training programs, links between tutorials/options, internship counselors, subjects, customized subjects, parents, progressions, classes, competence reference frames, groupings, rooms, internships, users, cities.

First step: preparing the spreadsheet for import

  1. By importing internships and work-study programs, you can create related data (company, official, internship counselor, company tutor) if it doesn't already exist in the database.
  2. If the base already contains such data, check the spelling of surnames, designations, etc. beforehand, so that HYPERPLANNING doesn't create duplicates.
  3. The spreadsheet must include one row for each piece of data and one column for each type of information (field). An example of an Excel file is supplied with the application in C:\Program Files\Index Education\Hyperplanning 2023\Réseau\Client\Exemples\Fichiers Import\
  4. It is not necessary to have a line of labels, but this may make it easier to match the HYPERPLANNING fields when importing.
  5. HYPERPLANNING requires you to import at least two fields to identify the student and the company.
    Please note that some imported fields make secondary fields mandatory, such as the ending date of the internship or work-study program if you have imported the beginning date.
  6. If some data may be affected by homonyms, make sure there is a field to distinguish them.
    1. To import a field not provided for in HYPERPLANNING, a column must be set aside in the spreadsheet for this type of information, using the following syntax <Type of information>Information so that HYPERPLANNING transforms this column into a family when importing.

      Second step: Importing data into HYPERPLANNING

      1. In the spreadsheet file, select the data to be imported and press Ctrl + C to copy it.
      2. Go to any display in the tab Schedules.
      3. Press Ctrl + V to paste the data: the import window opens.
      4. At the top, select the type of data to be imported: Work-study programs or Internships

      1. Indicate Tabulation as the field separator.
      2. Match each column to a HYPERPLANNING field. To do this, click on the arrow next to the designation Field ignored and select the field to which the column corresponds from the drop-down menu.
        • If a column is not to be imported, leave Field ignored. As long as required fields are missing, all data is displayed in red. If some data remains in red at the end of the matching process, it's because it doesn't match the expected format: hover the cursor over it to find out why. Most of the time, the data is still imported, but modified to conform.
        • If you have copied the column titles, tick Do not import the [1] first lines.
        • If a column contains data not foreseen by HYPERPLANNING, choose the correspondence Family which allows you to create fields not foreseen. If the nomenclature <Family>data is not respected, HYPERPLANNING will create a family To be renamed.
      1. Click on Import: HYPERPLANNING allows you to switch to Exclusive Usage mode (other users switch to Consultation mode for the duration of the import, and you can choose not to keep the imported data at the end of the process).


      1. HYPERPLANNING displays a report showing the number of data items imported, created or modified.
      2. Close the window.
      3. HYPERPLANNING offers to save the import format, so that the matching of fields to columns is preserved for all future imports of internships or work-study programs.
      4. If you were in Exclusive Usage mode, click on the button in the toolbar.
      5. In the pop-up window, choose by saving your modifications.
